Reporting to the Group Operations Manager, this role will be responsible for overseeing and leading both our Corporate Secretarial and Administration teams (both onshore and offshore), ensuring the Firm adheres to legal and regulatory requirements as well as co-ordinates the Firm’s administrative functions to ensure smooth daily operations.

Key Responsibilities

Administration

* Maintain accurate financial records and provide regular reports to practice owners
* Manage accounts receivable and payable, and implement debt prevention activities
* Expand the practice to increase profitability and meet community needs
* Providing high-level professional administrative support and assistance to ensure the efficient running of the Bairnsdale and Lakes Entrance offices

Corporate Secretarial

* Ensuring Company complies with statutory and regulatory requirements and maintains a high standard of corporate governance at all times
* Advising directors on their duties and governance matters and ensuring board decisions are implemented
* Ensuring appropriate document management is implemented
* Helping to manage risks by maintaining accurate records and following proper procedures

Team Management

* Supervise Corporate Secretarial and Administration teams (both onshore and offshore) to provide professional trustee and other financial services to clients
* Proactively conducts regular internal meetings to plan work and on-going projects and deadlines with the team
* Complete employee performance evaluations and recommend appropriate career development plans and rewards

Compliance

* Ensuring proper levels of Compliance awareness among staff in the Firm
* Train, coach and manage the Firm in fully complying with all process and procedures
* Signs off on compliance reviews and monitor annual budget

General

* Identifying roadblocks and improve processes to clear the path such that work practices are continuously improved
* Prioritising tasks and manage workflow expectations in line with business requirements
* Continuously looks for ways to improve processes and procedures
* Develop and maintain practice policies and procedures.

Requirements

* Previous experience in a corporate secretarial or similar role is essential
* Understanding of Xero, Now Infinity or CAS 360 will be highly preferred
* High attention to detail and organisational skills
* Previous experience in a corporate office environment
* Proven ability to effectively communicate both verbally and in writing
* Collaborative approach with strong time management and prioritisation skills.
