Our multidisciplinary team of Occupational Therapists, Speech Pathologists, Physiotherapists, Psychologists, dieticians and Exercise Physiologists are committed to making a meaningful impact. We are rapidly growing into new areas, including Adult NDIS, Aged Care, ICWA, Work place services, and private clients, and we need a proactive, entrepreneurial-minded Executive Assistant to support our ambitious vision.
The Opportunity
We are seeking a highly motivated, self-directed, and confident Executive Assistant to provide dedicated support to the owner/entrepreneur of Therapy Hub. This is a critical role for a dynamic individual who thrives in a fast-paced, high-stakes environment, embraces creative and visionary ideas, and delivers results-driven action with flexibility and enthusiasm. Based in Western Australia, you will be the owner's trusted right-hand partner, ensuring seamless task execution, driving operational efficiency, anticipating needs, and confidently representing Therapy Hub to external stakeholders.
This role requires handling multiple entrepreneurial initiatives across our growing companies, managing chaotic schedules, and acting as a gatekeeper while maintaining extreme discretion. Key Responsibilities
* Administrative and Strategic Support: Proactively assist the owner in managing her calendar across multiple companies and initiatives, prioritise tasks, handling correspondence, and anticipating needs to ensure seamless operations and alignment with business growth priorities, demonstrating self-directed initiative in a high-pressure environment.
* Market Intelligence Assistance: Support market research by independently gathering data on trends, unmet needs, competitive landscapes, collaboration opportunities and referral sources in Adult NDIS, Aged Care, ICWA, Work place services, DVA, and private markets, adapting to evolving priorities and providing actionable insights.
* Relationship Management: Confidently contact, coordinate, and nurture relationships with key referrers and stakeholders (e.g., Support Coordinators, Aged Care facility managers, GPs, Insurers, Case Managers, HR departments, DVA representatives) through scheduling, meeting, follow-ups, preparing talking points, and managing communications as a trusted gatekeeper.
* External Representation: Represent Therapy Hub with confidence at industry events, conferences, and networking functions, delivering compelling presentations to other companies and professionals to promote our services, build partnerships, and advance entrepreneurial ideas.
* Service Development Support: Assist in collaborating with clinical leadership to refine and launch new service offerings, proactively preparing documentation, coordinating reviews, and contributing creative input with flexibility to adapt to changing needs and rapid idea execution.
* Applications & Tenders Coordination: Independently manage applications for preferred provider panels and prepare timely, accurate responses to tenders for new contracts, ensuring high-quality submissions while handling confidential information.
* Sales & Marketing Assistance: Work closely with the marketing team to support targeted campaigns, develop collateral, track progress, and manage public relations elements, bringing resourceful solutions to attract new clients and referrers.
* Reporting and Analysis: Prepare insightful reports on business activities, pipelines, and targets, maintaining confidentiality, proactively offering solutions, and helping with business decisions to drive decision-making in a visionary context.
What You Bring
* Proven experience as an Executive Assistant, Personal Assistant, or similar high-level support role, ideally in allied health, healthcare, or a fast-growing entrepreneurial business led by visionaries.
