The Central Coast Conservatorium of Music (CCCoM) is seeking a Schools Program Administrator (SPA) to play a pivotal role in the delivery and growth of our highly regarded Schools Program across the Central Coast.

About the Role

The Schools Program Administrator is responsible for building strong synergy between Conservatorium management, administration, school band coordinators, conductors, teachers and school executive staff.

This role is central to ensuring:

You will coordinate a complex and dynamic program, working closely with a passionate team of music educators and administrators to ensure every school program runs smoothly and successfully.

Key Responsibilities

General

● Coordinate the scheduling of band programs, tutorials and 1:1 lessons across all schools in the Central Coast Conservatorium of Music School Program.

* Managing new enrolments in consultation with the administration team and integrating them into the program

● Manage communications on a full program level in line with Conservatorium procedures and templates.

● Develop and maintain strong relationships and results to bolster the Conservatorium's standing within the schools sector.

● Help Band Coordinators manage their programs inside the school

● Assist or provide advice as problems arise.

● Monitor and assist Coordinators to ensure appropriate tutorial sizes are maintained.

* Maintain the Schools Program Database to ensure it accurately reflects the programs being taught in schools. Integration of the database with Music Monitor.

● Liaise with Band conductors to ensure that planning of repertoire is carefully considered .

● Build trusted partnerships with key stakeholders.

● Support Band Coordinators to proactively manage a consistent recruitment drive throughout the year within the school environment.

● Organise instrument demonstrations and aptitude tests in consultation with band coordinators,music teachers and schools.

● Ensure successful planning and delivery of parent information meetings.

* Ensure adequate staff are available, including possible relief staff. Find replacement teachers where possible, and assist with communication if any tuition has to be cancelled or rescheduled.

Events

● Work in close synergy with the Conservatorium Executive on end-to-end project management of key annual events. Current annual events are Band Day Out and Band Festival.

● Work in consultation with other music teachers, band liaisons and management.

● Encourage a culture within the school environment where school band events are considered a critical part of the school's calendar.

Finance and Operations

● Work with the Executive team to ensure the program runs within its financial parameters

● In conjunction with the Executive team, develop an annual Schools budget

● Review the profitability of individual schools monthly.

● Ensure ongoing compliance and development of WHS policies and processes across all aspects of the schools program with guidance in this area from the CEO.

● Identify and comply with relevant WHS legislation

Provide program progress or overview as requested

Essential Criteria

● Strong written communication skills

● Excellent time management skills

● Excellent computer skills working with Microsoft Office, Outlook, Excel, Word, Google docs

● Demonstrated experience in managing budgets across multiple programs

● Excellent organisational skills, including an ability to coordinate multiple tasks.

● Strong attention to detail.

● Ability to demonstrate a high level of professionalism, reliability and accountability

● Ability to work in a team environment and develop team culture

* A collaborative leadership style that builds a positive team culture
* A genuine commitment to promoting the reputation and values of CCCoM

● Current Working With Children Check

Desirable Criteria

● Tertiary qualifications in a relevant field, or equivalent industry experience.

● Drive, excitement, passion and a genuine interest in music education

Experience in music education is highly desirable, along with a genuine interest and passion for arts administration.
