About the Mission to Seafarers (MTS) Newcastle
MTS Newcastle is an independent charity however we are connected with MTS globally. MTS cares for Seafarers in over 260 ports around the world, supporting the 1.6 million men and women in the seafaring community. We give those isolated at sea the opportunity to visit our centres when they are in port and offer them a chance to connect with loved ones at home, access medical, welfare and chaplaincy services, and recharge for the next leg of their voyage. Our volunteers ensure Seafarers can access our services, driving them from their vessels to the centre, changing their currency, providing them with clothes and seeing their needs are met.

OVERALL POSITION OBJECTIVE
Working alongside the Senior Chaplain, other staff and volunteers, the Office Administrator will ensure a warm and professional environment for Seafarers entering the Port of Newcastle and efficiently manage day-to-day office and shop operations to support the Mission’s objectives and community.
Key responsibilities
* Volunteer management including induction and training, rostering of volunteers to ensure the centre’s year-round operations, and coordinating monthly volunteer meetings
* Bookkeeping including invoicing and receipting, monitoring of accounts, banking and reconciliation of Australian and Foreign exchange, and cash balancing
* Administration including insurance and WHS compliance, collation of statistics and basic office functions
* Social media including actively building the Mission’s social media presence and impact
* Event organisation including the annual Art Prize and organised visits to the centre
QUALIFICATIONS, SKILLS AND EXPERIENCE REQUIRED
Qualifications
Minimum certificate III qualifications or over six years’ experience in the following areas:
* Office Administration; and/or
* Bookkeeping
Skills and experience
* Proven administration and organisational skills with strong attention to detail
* Bookkeeping, cost management and money handling experience
* Rostering of staff or volunteers to meet operational needs
* Capacity to organise, motivate and work with volunteers
* Demonstrable use of and impact from social media
* A high level of proficiency using Microsoft Office applications and Xero
* Excellent communication and interpersonal skills
* Ability to work as part of a team and with people from diverse cultures
* Honesty and professionalism with respect for all those who visit the centre
* Excellent time management skills and the ability to prioritise workload
OTHER REQUIREMENTS
* Evidence of the right to work in Australia
* A full Australian Driver’s Licence
SKILLS AND EXPERIENCE DESIRED
* Working with volunteers
* Commitment to work with all faith religions
* Experience and understanding of pastoral outreach
PRE-EMPLOYMENT CHECKS
The appointed candidate will be required to successfully complete:
* A National Criminal History Record Check
* Working with Children Check (WWCC) and Office of the Children’s Guardian training
They will also be required to sign the Mission to Seafarers Code of Conduct and governance policies.
