Business Administrator

The opportunity

We are seeking a proactive and professional administrator to provide high quality support to our busy team. This role is central to our operations, contributing to business and project administration, project controls (including cost management and coordination), and documentation management.

The position requires someone with corporate experience, a sound understanding of project environments, and financial literacy. You will be confident managing information, organising meetings, coordinating internal processes, preparing documentation, and supporting project teams with accuracy and efficiency.

Success in this role calls for strong communication skills, sound judgment, and the ability to build effective working relationships. We value individuals who work independently, take initiative, follow up proactively, and help others identify practical solutions.

Strong capability with the Microsoft Suite and excellent organisational skills are essential.

This is an office based role with up to one day per week working from home. The position requires coverage from 8:30 am to 5:00 pm.

About you

You are a highly organised, proactive, and self-managing individual who knows when to seek support and collaborate. Your attention to detail, commitment to accuracy, and ability to prioritise and stay ahead of team needs — even when juggling multiple deadlines — make you a perfect fit for our team.

In this role, you'll play a key part in keeping our projects and operations running smoothly. You'll manage finances, budgets, invoicing, and payments, while also updating project requirements and maintaining our databases, documentation, and job files. Your strong skills in document formatting and bid administration will shine as you log new bids and set up templates.

You'll also coordinate meetings, take minutes, prepare presentations, and assist with onboarding, expense claims, resourcing reports, travel and catering bookings, and team events. Beyond project work, you'll be a valued support to the wider Buildings team, helping with general business functions and contributing to a positive, collaborative environment.
