Hoppr is seeking a proactive and highly organized Office Manager to oversee daily operations at our Subiaco office. This role is pivotal in ensuring a smooth and professional environment for staff, partners, and visitors. The Office Manager will provide direct support to the Executive Chairman, manage travel logistics, and coordinate office administration with precision and discretion.
Key Responsibilities
Executive Support
Provide high-level administrative assistance to the Executive Chairman, including calendar management, meeting and appointment coordination, and confidential correspondence.
Liaise with internal and external stakeholders on behalf of the Executive Chairman.
Support occasional personal errands for the Executive Chairman to enable focus on strategic priorities.
Provide high-level administrative assistance to other members of the executive team.
Prepare briefing materials, agendas, and follow-ups for executive meetings.
Travel Coordination
Manage domestic and international travel bookings in line with the Hoppr Travel Policy including flights, accommodation, visas and ground transport requirements where necessary.
Prepare travel briefs ahead of business trips and conferences to ensure readiness and alignment.
Assist with maintaining travel diaries and ensure compliance with company procedures and cost-saving initiatives.
Act as the point of contact for travel-related queries and troubleshooting.
Office Management
Oversee day-to-day office operations including supplies, facilities, and vendor relationships.
Coordinate onboarding logistics for new hires and support offboarding processes.
Maintain shared spaces, meeting rooms, and ensure a welcoming environment for guests.
Manage office assets and liaise with IT and facilities teams as needed.
Collaborate with internal teams and external suppliers to ensure smooth coordination of office and executive support tasks
Assist with internal communications, document formatting, and template management.
Support cross-functional teams with ad hoc administrative tasks and project coordination.
Skills & Experience
Proven experience in office management or executive support roles.
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite and travel booking platforms (e.g., TripIt).
Discretion and professionalism in handling sensitive information.
