Crafted Gardens and Landscaping – Willetton WA
We're looking for a switched‐on Scheduler & Procurement Coordinator to become the operational backbone of our field team. You'll own the daily schedule, keep our crews moving efficiently, and make sure the right materials are on site at the right time — working closely with our project managers, tradespeople, and supplier network.
This is a role for someone who thrives on organization, communicates clearly, and takes ownership. You don't need to have swung a shovel — but you do need to understand what it takes to get a project across the line.
WHAT YOU'LL BE DOING
* Managing and optimising daily crew schedules using simPRO job management software, ensuring field staff are allocated effectively across active projects
* Producing scheduling and project progress reports for management, tracking milestones and flagging resourcing issues early
* Procuring landscaping materials — pavers, soil, plants, irrigation products, and more — coordinating with suppliers to ensure timely delivery
* Liaising with delivery drivers and suppliers to confirm delivery windows, manage lead times, and resolve supply issues as they arise
* Acting as a key point of contact between the office and field crew, relaying scheduling updates and resolving day‐to‐day logistics
* Maintain accurate job records and material orders in simPRO, keeping information up to date for the wider team.
WHAT WE'RE LOOKING FOR
* Demonstrated experience in an office administration, scheduling, or coordination role — ideally in trades, construction, or landscaping
* Confident using job management or field service software — simPRO experience is a strong advantage, but not essential; we'll support the right person to get up to speed
* Strong organisational skills with the ability to juggle multiple priorities without dropping the ball
* Clear and professional communicator — comfortable dealing with suppliers, drivers, and tradespeople
* Ability to problem‐solve in real time when schedules shift or deliveries don't land as planned
* A genuine interest in the landscaping or construction industry — knowing what goes into a project makes all the difference
