About the Role
This role provides comprehensive administrative and operational support to the Regional Director and Senior Managers within the North Coast Population and Public Health Directorate (NCPPH), ensuring the smooth and effective functioning of the Directorate and its services. It plays a key role in supporting leadership through high-level coordination, communication, and organisational expertise.

The position is responsible for preparing accurate and concise reports, briefings, and complex correspondence for a wide range of audiences, including senior government stakeholders. It also involves managing the Regional Director’s workflow, including diary coordination, prioritisation of tasks, and monitoring time-critical matters to ensure deadlines are met.

A strong focus is placed on professional and respectful communication with internal and external stakeholders, including government agencies and the public. The role provides high-level secretariat and meeting support, including coordinating logistics, preparing and distributing papers, and assisting with both in-person and virtual meetings.

Additionally, the role manages incoming requests and correspondence, ensuring urgent matters are escalated appropriately and handled efficiently. It maintains accurate electronic records in line with legislative requirements and supports continuous improvement through the development and implementation of procedures, standards, and practices.

The position also contributes to a culture of safety, quality, and innovation by supporting patient-focused outcomes, adhering to workplace health and safety requirements, and actively participating in quality improvement initiatives.
This is a Temporary Full-Time role based in our Coffs Harbour Corporate Office.
About You
You are an experienced administrative professional with proven capability in delivering high level support within complex and fast-paced organisations and can bring well developed interpersonal and communication skills, enabling you to engage effectively with a wide range of stakeholders and produce clear, professional written communications tailored to diverse audiences.

You thrive in dynamic, high-volume environments and have a demonstrated ability to prioritise competing demands, manage workflows efficiently, and consistently meet tight deadlines. You are highly proficient in a range of software applications, including Outlook, Word, PowerPoint, Excel, and specialised systems, allowing you to support operations with accuracy and efficiency.

Can you exercise sound judgement and discretion when handling confidential and sensitive information, and are confident in negotiating and liaising with stakeholders to balance competing priorities. With a strong ability to work both independently and collaboratively, you can contribute to achieving strategic and operational outcomes while maintaining a proactive and solutions-focused approach.
