Administrative Services Coordinator Role Summary:
The Administrative Services Coordinator plays a crucial role in supporting the maintenance team by handling documentation, purchasing, and inventory management. This position is responsible for ensuring that all necessary procedures are followed, including contractor management, spares parts inventory, and equipment lifecycle documentation.
Key Responsibilities:
* Maintenance planning support to ensure smooth operations.
* Management of contractors, including induction, qualification, permits, training, and licenses.
* Filing, archiving, and closing work orders in the CMMS system.
* Purchase requisition generation and supervision until approval.
* Inventory management, including physical inventory and spares handling in CMMS.
* Participation in Failure Mode & Effect Analysis (FMEA) exercises where required.
* Supporting improved documentation practices and control systems, including filing and archiving.
* Documentation related to equipment lifecycle, EH&S, contractor management, and other areas.
* Support and participation in audit processes where required.
* Additional tasks assigned by the Supervisor.
Requirements:
* A high school diploma or equivalent is required.
* Experience working within an administration team, preferably in engineering or maintenance.
* Knowledge and experience in EH&S and GMP will be advantageous.
* Demonstrated ability to multitask, prioritize, and show initiative to complete tasks according to company standards.
* Excellent oral and written communication skills.
* Able to operate in a highly sophisticated environment with diverse people and perspectives.
* Understanding of regulated environments and ability to enforce EH&S policies and procedures.
