The Opportunity

Newcastle Anglican are looking for a seasoned Executive Assistant for both Executive Director NDIS & Community and Executive Director Family & Community Services. This is a Permanent Full Time vacancy.

What are we looking for?

1. Act as the first point of contact for the Executive Director including managing enquiries and responding on their behalf when required.
2. Facilitate meetings and correspondence for the Executive Director and their team including coordinating responses and following up outstanding matters.
3. Research, analyse, collate, and provide information to the Executive Director and their team to support informed decision making and planning.
4. Contribute to the development, implementation and evaluation of administrative practices, systems and procedures to optimise efficiency and support the achievement of quality outcomes.
5. Effectively manage the Executive Directors’ meetings, appointments, records and correspondence.
6. Proactively schedule, organise, prioritise, and attend meetings as required to provide support.
7. Form and maintain a collaborative and cohesive relationship with the Executive Assistant to the Bishops to enable open communication and information sharing between the Bishop’s office and the Executive Leadership Team.
8. Manage, prepare, and review communications ensuring timely delivery and accuracy to support the requirements of the Executive Director including board reports, agendas, minutes and email communications.
9. Manage confidential matters maintaining discretion at all times.
10. Coordinate business-related travel and conference/seminar attendance with a focus on sourcing and organising arrangements that provide cost-effective and time efficient solutions.
11. Participate in professional networks and forums appropriate to the role.
12. Support and provide coverage where required for the Executive Assistant Team.


About you?

1. Certificate IV or higher in Business Administration or equivalent.
2. Current drivers’ licence.
3. A current Working with Children check (with clearance to work with children) or willingness to obtain.
4. A current NDIS Check or willingness to obtain.
5. National Police Check (Newcastle Anglican will consider the relevance of any reported outcomes).
6. 5 years+ experience at a senior executive assistant level.
7. Proven ability to build effective relationships with employees, volunteers and other stakeholders.
8. Advanced computer skills including keyboarding speed and accuracy as well as in-depth knowledge of MS Office Suite.
9. Comprehensive knowledge of executive office administrative practices and procedures.
10. A high level of discretion to deal with highly confidential and sensitive information.
11. Proven adherence to legislation, policies and procedures.
12. Coordination and facilitation of meetings.
13. Expert at travel/conference bookings and management of same.
14. Strong diary management for multiple stakeholders.
15. Experience with researching and supporting document collation.
