We are currently seeking a Document Control and Engineering Administrator who will be responsible for supporting the E&I team along with the delivery of contractual documents for E&I projects.
What you'll do
Provide general administrative support
Participate in meetings, taking minutes as may be required.
Participate in project reviews, taking minutes as may be required.
Provide support during internal and external quality audits.
Assist in the development/harmonisation and maintenance of project procedures and document templates.
Coordinate travel, accommodation & car rental bookings.
Credit card reconciliation.
Assist with reporting as required.
Assist with collection and maintenance of OTD data.
Assist in document control as may be required.
Assist with maintenance of Project drives and document archives.
Assist the Project Management team with administrative tasks as required.
Setting up Projects in SAP
Processing Customer Orders in SAP
Maintenance of Sales Orders in SAP
Creating Purchase Requisitions in SAP
Creating Demands and Deliveries in SAP
Issue of Customer invoices – both External and Internal.
Assist with audits relating to customer orders and invoicing
Processing of Supplier invoices – both External and Internal
Provide back-up support for Senior Project Coordinator/SAP Projects Key User when required.
Assist with any other general SAP administration.
Receive, record, and distribute all incoming and outgoing documents in accordance with established procedures.
Issue transmittals and provide progress reporting concerning the documents in circulation.
Expedite the review and approval of documentation.
Collaborate with various departments and suppliers to collect, review, and update project-related documents.
Monitor document changes and revisions, maintaining version control and traceability.
Participate in the planning of projects as required.
Assist wider team members with system issues, document formation and other process requirements.
Implement and enforce document management standards and best practices.
Engagement with vendors, fabricators, and contractors with regards to document control interface.
Essential Skills and Experience
Enthusiastic & Pragmatic
Certificate III or IV in Business Administration
Minimum 3 years experience
Computer literacy, particularly MS Excel, Outlook, SAP
2+ years Document Control or Administration experience.
Intermediate and above Microsoft Office 365 skills (Word, Excel, Outlook).
Professional and calm in communication style, maturity to deal with senior stakeholders.
Ability to work as part of team and independently.
High level of attention to detail.
Positive attitude and work ethic.
You enjoy a varied workload, have strong time management skills and enjoy liaising with a wide variety of people
Desirable Experience
Experience using SAP or ERP program
Good verbal and written communication skills.
Be a good critical thinker and problem solver.
Be a self-starter with the ability to work in isolation.
Ability to work well in a team environment.
Ability to work well under pressure
2+ years Document Control or Administration experience.
Intermediate and above Microsoft Office 365 skills (Word, Excel, Outlook).
