Leasing Coordinator Opportunity

At our organization, we are seeking a skilled Leasing Coordinator to join our Leasing and Property team. The successful candidate will play a pivotal role in the coordination and management of lease documentation, ensuring seamless execution and recording of all information.

The key responsibilities for this position include:

* Announcing new stores and relocations to the business unit
* Setting up new stores on Lease Eagle database from new store sheets, including charges and clauses
* Monitoring and tracking leases to execution and updating Lease Eagle Database
* Maintaining all property databases, including Lease Eagle, spreadsheets, etc., in line with commercial agreements and dates as per Store Development schedule
* Running Handover reports and reviewing weekly with Store Development Team
* Updating date changes once approval is received from landlords
* Assisting the Senior Leasing Administrator and corporate lawyer with negotiation and finalization of leases where required
* Coordinating execution for all storage license agreements and maintaining a register of all storage units and associated costs
* Preparing and sending quarterly cap email reminders to landlords
* Auditing storage units on a regular basis with Retail and leasing teams
* Liaising with Operations teams to ensure all Shopfitter and Landlord defects have been completed and all conditions of payment fulfilled
* Ensuring payments are received promptly in line with terms of agreement
* Arranging insurance certificates for new stores with the insurer
* Assisting Senior Leasing Administrator, Commercial Leasing Manager, GM Property, and Leasing Team where required
* Liaising with landlords in relation to store maintenance issues where the landlord is responsible for cost recovery
* Attending new store opening meetings

To succeed in this role, you will need to possess:

1. Strategic thinking with experience in implementing process improvements and efficiencies within a lease administration role
2. Excellent time management skills - handling multiple tasks simultaneously, with the ability to prioritize and meet deadlines
3. Intermediate Microsoft Office Suite
4. Intermediate computer skills, including Microsoft Excel
