Support Administrative Professional

We are seeking a proactive, organised and adaptable Support Administrative Professional to play a key role in keeping our operations running smoothly.

This varied and hands-on position involves working closely with both our accounting and admin teams, ensuring our clients receive exceptional service while keeping internal processes efficient and on track.

* Office Coordination
o Manage stationery and general supplies.
o Organise weekly grocery orders for the office.
o Keep communal spaces tidy and well-stocked.
* Administrative Assistance
o Manage incoming and outgoing mail (physical and electronic).
o Support accountants with debtor reports, data entry, and month-end tasks.
o Prepare invoices and update client records.
o Handle forms and liaise with regulatory bodies for various requests.
o Manage client onboarding/offboarding and document returns.
o Collate client documents and work papers for accounting jobs.
o Draft correspondence and respond to client queries.
* Team & Business Support
o Provide backup support across the admin team as required.
o Assist with accounts payable and invoice follow-ups.
o Coordinate internal events as directed.
o Maintain procedural documentation and assist with ad hoc projects.
o Help organise communications with clients.
o Attend regular meetings and share ideas for improvement.
* Reception & Client Services
o Answer calls professionally and direct them appropriately.
o Keep reception and meeting rooms welcoming and presentable.
o Arrange meeting room set-up and organise couriers.

Requirements

* 3–5 years' administration experience, ideally within accounting or professional services.
* Strong organisational skills with attention to detail.
* Ability to manage multiple priorities and work well under pressure.
* Confident communication skills and a professional approach.
* Initiative and willingness to get involved wherever needed.
