About the opportunity

We are looking for a highly organised and proactive Project Coordinator to join the Return to Work Innovations team and support the delivery of the $50M Innovation Fund, a flagship government initiative piloting and trialling innovative approaches to improve outcomes for Victorian workers.

In this role you will be at the centre of the program's operations—keeping its daily activities running smoothly, coordinating governance and project processes, supporting leaders with high-quality reporting and presentations, and continuously improving the way the team works.

* Support the individual projects in the coordination of governance activities and committee meetings
* Assist with the development, preparation, collation and coordination of program/project board/steering committee, governance meeting papers, reports and presentations
* Assist in developing new administration, management and reporting processes
* Responsible for ownership and maintenance of program/project(s) shared folders, calendars, email accounts and templates
* Provide administrative, financial management and procurement support, including coordinating training, travel arrangements, creating purchase orders, and receipting invoices
* Coordinating and supporting workshops and meetings with both internal and external stakeholders, including scheduling, administrative arrangements, assisting with preparation of papers, minute taking, and liaising with senior management as required.

Please review the Position Description here for additional information on accountabilities for this role.

About you

You are proactive, solutions-focused and confident working in a fast-moving environment where priorities shift and collaboration is key. You enjoy using technology and data to improve processes and are skilled at presenting information in ways that are clear, visual and impactful. You are a team-oriented person who can also demonstrate their ability to work autonomously with limited guidance. Additionally, you will also possess:

* Experience supporting projects or large programs within complex organisations.
* Demonstrated ability to improve systems, processes and ways of working through technology.
* Advanced skills in Microsoft Office, particularly Excel and PowerPoint, including the ability to create visually compelling reports and presentations that tell a clear story.
* Experience supporting governance processes, preparing meeting papers and coordinating senior stakeholder meetings.
* Strong organisational skills with the ability to manage competing priorities and work both independently and collaboratively.
* Experience working with project management systems, finance systems and reporting tools (such as Planview, Jira, Confluence, Daptiv, Oracle, SharePoint or similar) is highly regarded.
* Knowledge of project delivery environments and methodologies (e.g. PRINCE2, PMBOK) is desirable.
* Strong stakeholder engagement skills, with the ability to build productive working relationships across teams and with external partners.
