POSITION DESCRIPTION
Position Title: Administration officer
Location: Townsville, QLD
Reports to: Office manager
Employment Type: Full-time 38hrs a week

Position Purpose

The purpose of this position is to provide front-of-house administrative support for the Townsville office, ensuring efficient handling of client communications, invoicing, and basic quote administration. This role is a key first point of contact for customers and supports the smooth coordination of service-related documentation and office workflows.

The position is responsible for reviewing completed service documentation, preparing and issuing accurate invoices, and assisting with the preparation and rectification of basic trade service quotes as required. It also supports communication between clients, technicians, and the administration team to ensure service records, pricing, and job details are accurate and up to date.

This role requires a highly organised and detail-oriented individual with strong administrative and customer service skills. The ability to manage multiple tasks, maintain accuracy in documentation, and communicate professionally with both clients and internal teams is essential.

By ensuring invoicing accuracy, supporting quote preparation, and maintaining a welcoming and professional front-of-house presence, this position contributes to efficient office operations and a positive customer experience.

Key Responsibilities

* Assisting with Phone calls from various client enquiries.

* Front of house assisting with walk in enquiries.

* Reviewing service documents, generating accurate invoices and creating service quotes where required.

Skills & Experience

Essential:

* Prior experience in an administration or customer relations role

* Excellent written and verbal communication skills.

* High level of accuracy and attention to detail.

* Strong administrative, time management, and organisational abilities.

* Confident using Microsoft Office Suite and document management systems.

Desirable:

* Experience in the fire protection or construction industries.

* Attention to detail

* Prior experience in an Invoicing role

* Good customer service skills
