The
Event Workforce & Operations Services Manager
will support the Events team on:

1. Melbourne International Flower and Garden Show (March)

2. Great Ocean Road Running Festival (May)

3. Melbourne Marathon Festival (October)

and other ad-hoc projects as they come up

Key Responsibilities & Accountabilities

* Volunteer and Casual Workforce Management, including Workforce recruitment, planning, management & scheduling.
* Volunteer Workforce Management system includling real-time reporting and operational controls
* Support Event Director, Operations Director and Course Director with Administrations requirements including but not limited to: Event Plans, OH&S Plans, Event permit applications, Supplier Agreements, Staff Agreements, Delivery schedule and inventory lists.
* Support Event Director and Operations Director with stakeholder management Incl. regular Stakeholder meetings and briefings
* Review, prepare and implement event sustainability practices
* Assist the planning of Site layout, flow, and operational elements to ensure a safe and successful delivery of our event portfolio.
* Prepare and implement Risk Management and OHS event safety planning and inductions.
* Supplier procurement; Negotiations, Appointment, Management and Review processes.
* Appoint and on-board suppliers in conjunction with the Operations Director
* Liaise with event venue management team in planning and delivery of the events.
* Manage event accreditation planning and distribution.
* Plan, implement and manage staffing, partners and stakeholder parking requirements
* Liaise with internal departments to coordinate; IT requirements (phone lines), Finance Department (Accounts Payable processes) and Human Resource Department (Supplier and Staff agreements)
* Liaise with Operations Director to set clear work schedules and tasks to plan out upcoming events incl. forward thinking and early planning.
* Continue to challenge the status quo to find efficiencies and develop our events to enhance participant experience and event delivery.
* Any other duties assigned to you from time to time

Knowledge & Experience:

* 3+ years' experience in event workforce operations
* 3+ years' experience in event operations delivery
* Experience managing and adhering to event permitting administration and compliance
* Experience in stakeholder management
* Interest and knowledge in event sustainability practices desirable
* Experience in Risk and Emergency Management desirable
* Strong administration & organisational skills
* Ability to multitask with strong time management skills to prioritise tasks
* Excellent written and oral communication with a high attention to detail
* Self-motivator with the ability to work independently and as a part of team.
* Proficient in using Microsoft office and other forms of software desirable ie. Volunteer management system – rosterfy, Adobe Design Suite
* Experience and interest in the running industry desirable
* Occasional long/unusual working hours required during events
* Hold a current driver's license valid in Australia
* First Aid qualifications preferred
