Primary objective
The Administration Coordinator provides a high level of administrative and financial support for the VET in Schools and
Careers Unit within the training and skills environment.
Context statement
Skills NT's role is to build a skilled and capable workforce through vocational education and training (VET) that meets
the needs of Territorians, industry and community. The VET for Secondary Students team provides and advice and
support to schools and regions to enable delivery of VET programs that contribute to an NTCET pathway or help build
suitable post-school destination pathways into industry.
Key duties and responsibilities
1. Act as a central triage point and manage the workflow of the work unit efficiently to ensure timely responses and
systems and processes are functioning appropriately.
2. Provide administrative support and advice to staff in the unit regarding timelines, protocols, document content and
presentation and operation issues and assist in the coordination and review of briefs, allocation of requests and
correspondence, including policy and briefing papers, cabinet submissions, letters and emails.
1. Coordinate diaries, arrangements for meetings, workshops and training sessions held internally and/or externally,
including organising travel arrangements and preparation of briefing packages.
1. Support the directors and division with a range of administrative processes including procurement, financial
management, scheduling and resource allocation, travel and management of equipment and resources.
1. Provide staff training and mentorship in financial systems such as NTG Pay, GrantsNT, TRM, TRIPS, MYBIZ and GAS
Wizards or similar or ability to learn quickly.
Selection criteria
Essential
1. Sound organisational skills with a high degree of accuracy and attention to detail and demonstrated experience
providing high quality administrative support including managing diaries, emails and organising travel.
2. Experience with booking, overseeing and coordinating travel.
3. Self-motivated, adaptable, and ability to work well both within a team and independently to deliver timely and quality
outcomes with demonstrated ability to prioritise workload, meet deadlines.
4. Understanding of government processes and systems, including general finance and procurement processes or
the ability to quickly acquire.
5. High level skills in the use of information technology such as Microsoft Word, Excel, Outlook, records management
and mainframe systems or similar systems.
Desirable
1. Certificate III in Business Administration or similar qualification.
