Russo Higher Education (RHE) Pty Ltd are seeking a proactive and detail-oriented Enrolment & Credit Advisor to join the Academic Services team at James Cook University Brisbane. This is working within James Cook University Brisbane which is a campus of James Cook University operated in partnership with RHE.
You will be supporting students throughout their academic journey and ensuring a seamless enrolment and credit assessment experience. You will assist students navigate admission, enrolment, and credit assessment—from their first enquiry to graduation.
About the opportunity
As an Enrolment & Credit Advisor, you will provide timely, in‑person support across admission, enrolment, credit/advanced standing, and study planning. You will ensure compliance with university policies and national frameworks, maintain accurate records in the Student Management System (SMS), and partner with academics and administrators to deliver a smooth experience for every student.
What you will do
This role has administration duties that support students across their learning journey including:
* Assess credit (advanced standing) applications and interpret supporting documentation in line with university policy and subject requirements
* Develop/advise on study plans and pathway options to enable timely course completion
* Admit students in SMS, expand study plans, and apply approved credit
* Manage campus transfers, enrolments/withdrawals (incl. passive/excluded), overload/underload, and post‑census adjustments
* Coordinate trimester preparation, subject planning, and follow‑up with non‑enrolled students
* Process pre‑ and post‑census leave of absence requests; prepare/issue official letters (completion, vacation, enrolment)
* Respond to student enquiries via phone and email; maintain templates and data accuracy across systems
* Liaise with academic staff, admin teams, and external institutions to ensure timely, accurate processing
What you will bring to the role
* Tertiary qualification in education/administration (or equivalent relevant experience)
* Demonstrated experience in tertiary student administration
* Proven capability to assess academic credit and interpret complex documentation
* Strong knowledge of university policies, academic structures, and the AQF
* High‑level analytical, problem‑solving, and attention to detail in data entry/records
* Excellent written and verbal communication; confident front‑of‑house service
* Proficiency with student information systems (e.g., SMS), databases, PRISMs, and Microsoft 365
* Ability to prioritise, manage multiple tasks, and meet deadlines in a dynamic environment
