We are seeking a motivated and detail-oriented Administration Officer to join our supportive and collaborative team. About the Role

This is an exciting and varied position for a highly organised professional who thrives on keeping things running smoothly behind the scenes. As the Administration Officer, you'll play an integral role in supporting the daily operations of our service, acting as a key point of contact for both internal teams and external stakeholders.

No two days will be the same – from coordinating maintenance schedules and managing registers, to assisting with procurement, event planning, and providing reception support as required. You'll be the foundation of our administrative function, ensuring processes are efficient, communication is clear, and tasks are completed to a high standard.

Key Responsibilities

* Deliver high-quality administrative support across daily operations, ensuring efficiency and consistency in service delivery
* Maintain accurate and up-to-date records, registers, and filing systems in line with organisational requirements
* Coordinate and schedule ongoing maintenance and facilities services, ensuring timely follow-up and contractor liaison
* Assist with procurement activities, including ordering supplies, managing inventory, and working with approved vendors
* Support the planning and delivery of internal events, meetings, and team activities, including logistical coordination
* Manage calendars, appointments, and team communications to support smooth workflow and time management
* Prepare documentation, internal communications, and reports as required, ensuring accuracy and confidentiality
* Provide reception support as needed, maintaining a welcoming and professional front-of-house presence
* Contribute to process improvements and administrative systems to support team effectiveness and continuous improvement

About You

You are a highly organised and reliable professional who takes pride in creating order, supporting others, and ensuring no detail is overlooked. You thrive in a fast-paced environment and are comfortable managing multiple priorities with a calm and solutions-focused approach.

You bring a natural ability to build positive relationships, communicate clearly, and respond to the needs of both internal teams and external stakeholders with professionalism and care. To be successful in this role, you will have:

* Proven experience in an administrative or office support role
* Strong organisational and time management skills, with the ability to manage competing priorities
* Excellent interpersonal and communication skills, both written and verbal
* A proactive and flexible attitude with a willingness to support wherever needed
* High attention to detail and accuracy in record-keeping and document preparation
* Proficiency with Microsoft Office Suite and confidence using internal systems
* Experience in customer service, procurement, property management or event coordination (desirable)
* A commitment to confidentiality, professionalism, and continuous improvement
