About the Role
We’re seeking a strategic Project Administration Officer to support our Enterprise Project Management Office (EPMO). This high‑visibility role drives governance, portfolio oversight, and executive‑level reporting, acting as a bridge between project teams, EPMO leadership, and senior stakeholders to ensure alignment, visibility, and accountability across the portfolio.
Key Responsibilities
Strategic Governance & Portfolio Management
- Own and maintain enterprise OKRs and track progress against business strategy
- Drive strategic project governance frameworks for consistency across the portfolio
- Monitor portfolio health, capacity, and resource risks, surfacing early warnings
- Maintain portfolio‑level visibility and identify dependencies, risks, and alignment issues
- Hold stakeholders accountable by tracking commitments and asking hard questions
Executive Reporting & Data Visualization
- Produce executive‑ready reports, dashboards, and board packs that distill complex information into actionable insights
- Create data visualizations that drive decisions, not just report status
- Present portfolio insights to senior leadership with confidence and clarity
- Translate project data into strategic narratives that executives care about
Smartsheet Mastery & Automation
- Design and maintain advanced Smartsheet solutions, dashboards, automated workflows, formulas, and reporting
- Standardize and continuously improve Smartsheet governance across the EPMO and broader business
- Train and support others in using Smartsheet effectively
- Drive data quality and consistency improvements across the platform
Stakeholder Management & Influence
- Engage confidently with executives, project managers, and cross‑functional teams
- Challenge the status quo and raise issues when needed
- Build relationships across the business to deliver EPMO objectives
- Facilitate difficult conversations about prioritization, resource allocation, and trade‑offs
Process Improvement & Initiative Tracking
- Drive continuous improvement of EPMO processes, templates, and standards
- Track team initiatives and business goals, ensuring alignment and progress
- Identify opportunities to enhance portfolio visibility, governance, and decision‑making
- Operate autonomously, creating structure and clarity where needed
Essential Requirements
- Advanced Smartsheet expertise, including dashboards, automation, formulas, and workflows (non‑negotiable)
- Data visualization and presentation skills for executive‑ready materials that drive decisions
- 4‑7 years of experience in PMO, EPMO, or strategic project coordination roles
- Portfolio‑level thinking: governance, prioritization, and strategic alignment beyond individual projects
- Proven ability to engage with and influence senior stakeholders and executives
- Strong analytical skills with the ability to turn data into insights and recommendations
- Confidence to challenge, elevate, and hold stakeholders accountable
- Self‑starter who can operate independently and create clarity in ambiguity
- Excellent written and verbal communication skills
Highly Valued
- Bachelor’s degree in Business Administration, Project Management, or related field
- Experience supporting executive leadership teams
- Knowledge of Agile, hybrid, or waterfall project methodologies
- Familiarity with Power BI, Jira, Confluence, or Microsoft Project
- Project management certifications (CAPM, PRINCE2, AgilePM)
- Experience implementing governance frameworks or PMO standards
- Change management experience: training, influencing, measuring adoption
- Background in capacity planning and resource management
