Executive Assistant to the CEO Meir | Highpoint Southbank, VIC | Full-Time The CEO does not need an assistant. They need the person who makes everything else possible. Half of your role is executive support and communications management. The rest spans operational administration, travel and event coordination, and personal support that keeps the CEO operating at their best. This role moves across Highpoint and Southbank and supports interests across more than one business entity. You flex naturally with the pace. You do not need the role to fit around a fixed schedule. Day to day, you will be: Executive Support and Communications Managing the CEO's inbox and calendar with precision, so what reaches their attention is always what matters Filtering incoming requests and information with sound judgement, directing the CEO's focus only where it creates real value Preparing thorough briefings, agendas and supporting materials before every meeting, event and commitment Attending client meetings as required, capturing accurate notes and tracking all follow-up actions through to completion Actively managing the CEO's external commitments, prospects and event obligations so every opportunity is visible and maximised Operational Administration Preparing board packs and executive documentation to a consistently high standard, formatted correctly and delivered on time Managing document filing, data entry and information systems so everything is always where it needs to be Supporting operational work connected to the CEO's secondary business with the same level of care as the primary Servicing both Melbourne locations effectively, with travel between sites a natural part of the role Travel, Events and Logistics Coordinating all travel end to end including flights, accommodation, ground transport and detailed itineraries Ensuring the CEO arrives at every commitment fully briefed, on time and with nothing left to chance Coordinating events and functions with close attention to detail, confirming all logistical requirements well in advance Personal Support Managing personal tasks, ordering, purchasing and collecting items proactively so the CEO never needs to think twice Coordinating daily lifestyle logistics with care so the CEO's time and energy are preserved for what matters most Organising catering and meals with the CEO's preferences in mind to sustain focus across demanding days Who We're Looking For We want someone who has earned the trust of a senior leader before and understands what it truly means to be the person they rely on. Someone who brings calm to fast-moving days and holds the standard without needing to be reminded of it. You are the right fit if you: Have demonstrated experience supporting a senior executive or CEO in a high-expectation, fast-paced environment Have exceptional organisational capability and can hold multiple moving parts simultaneously without missing a beat Write and communicate with precision and professionalism, drafting correspondence and board materials that need no rewriting Use AI tools fluently and purposefully as part of your day-to-day work, to draft, summarise, brief and surface risks before they become problems Have direct experience working with or adjacent to a board of directors, including preparing board packs and managing board communications Exercise professional discretion without exception and protect sensitive information absolutely Are proactive and self-directed, you anticipate needs before they are expressed and bring solutions rather than questions Remain composed and clear-headed when the pace increases and priorities shift It would also help if you: Have experience supporting a CEO with interests across more than one business entity or across multiple sites Have familiarity with premium consumer or product brands and the standard they hold themselves to Have a genuine interest in the tapware, bathroom products or broader design and construction industry What We Stand For Meir holds itself to a standard most brands talk about, and few actually live.
