Position Purpose
The Corporate Services Coordinator provides high-level administrative, HR, corporate, and office coordination support across ACTG’s operational and executive functions. This hybrid role ensures smooth corporate operations, strengthens communication between departments, and enhances the organisation’s overall efficiency.
Working closely with the CEO, Operations, Intake, Marketing, and People & Culture teams, the Corporate Services Coordinator supports the flow of organisational information, assists with governance and compliance tasks, coordinates office environments across Fitzroy and Geelong, and contributes to ACTG’s strategic and operational effectiveness.
Key Responsibilities
Executive & Corporate Support
* Provide administrative support to the CEO and Executive Leadership Team.
* Assist with diary scheduling, meeting coordination, agendas and follow-up actions.
* Prepare reports, briefing papers, presentations and governance documents.
* Liaise between Executives, Operations, stakeholders and external partners.
* Coordinate travel arrangements and manage sensitive information with confidentiality.
Office Management – Fitzroy & Geelong
* Oversee daily office operations, facilities, supplies and general upkeep.
* Coordinate meeting rooms, onsite activities and staff office needs.
* Support WHS responsibilities including incident records, safety documentation and compliance.
* Maintain a professional, welcoming and well-functioning office environment.
People & Culture Support (Non‑managerial)
* Assist with recruitment activities including posting roles, scheduling interviews and candidate communication.
* Support onboarding, induction scheduling and compliance documentation.
* Maintain staff records, HR documentation and system updates.
* Assist with policy updates, templates and HR administrative processes.
* Provide data entry, basic reporting and HR system support.
Corporate Relationship Management
* Coordinate follow‑up actions from corporate and sector meetings.
* Maintain corporate contact lists, schedules and communication pathways.
* Support corporate engagement activities across Executive, Operations and Marketing.
* Track sector insights, referral trends and partnership opportunities.
Marketing Liaison & Communications Support
* Act as the coordination point between Corporate Services and Marketing.
* Provide organisational updates, operational information and sector insights for campaigns.
* Assist with content needs arising from Executive initiatives.
* Support corporate communications and reporting requirements.
Fleet Coordination
* Oversee servicing, safety checks and registration monitoring for ACTG’s fleet.
* Maintain vehicle logs, allocation schedules and compliance records.
* Coordinate staff bookings and liaise with external fleet providers.
General Corporate Administration
* Support document control systems, organisational registers and filing processes.
* Assist with preparation of board and executive papers.
* Support audits, internal reviews and administrative projects.
* Respond to organisational enquiries professionally and efficiently.
Qualifications & Requirements
Essential
* Tertiary qualification in Business Administration, HR, Management, Communications or a related discipline.
* Ability to travel between Fitzroy and Geelong.
* Valid Working with Children Check and NDIS Worker Screening.
* Current Australian Driver’s Licence.
* Strong administrative, organisational and communication skills.
Desirable
* Experience in HR or recruitment administration, office coordination or executive support.
* Experience in health, community services or education sectors.
* Familiarity with CRM systems, Xero, Salesforce or SharePoint.
Experience & Skills

* Demonstrated experience in administrative or coordination roles.
* Strong interpersonal skills with the ability to engage across teams.
* High accuracy and attention to detail in documentation.
* Ability to manage competing priorities.
* High proficiency in Microsoft Office and digital workflow platforms.
