In addition to our core child protection and residential care services, we are proudly expanding our offerings to include comprehensive NDIS supports for participants both in care and in the broader community, maintaining the same trauma-informed and person-centred approach in everything we do.

Position Overview: The Roster Coordinator manages rostering for youth workers and NDIS support workers, ensuring staff are matched to clients based on skills, experience, and compatibility. Responsible for creating, maintaining, and communicating rosters, managing unplanned absences, and supporting payroll, the role ensures compliance with the SCHADS Award, NDIS standards, and organisational policies. This position is key to promoting safe, trauma-informed, and relationship-focused care.

IMPORTANT: The successful candidate is supportive and empathetic toward staff while confidently making firm, equitable rostering decisions when required. They are prepared to be direct, clearly set expectations, and ensure accountability—communicating that once a shift is accepted, staff are expected to fulfil it barring a genuine emergency, rather than attempting to please everyone.

The role may occasionally require flexibility to be available outside standard/core hours in order to resolve roster breakdowns and maintain operational coverage.

As part of an essential service that operates 24 hours a day, 7 days a week, this is a mission-critical position requiring strong personal ownership, proactive initiative, and unwavering commitment to achieving and sustaining excellent rostering results and operational continuity.

Key Responsibilities:

* Create, publish, and maintain staff rosters using HR systems (e.g., Employment Hero) to ensure consistent coverage of client services

* Match youth workers /NDIS workers to clients based on compatibility, skills, qualifications, and trauma-informed practice

* Manage unplanned absences, last-minute shift changes, and workforce contingencies

* Forecast staffing requirements and plan rosters in advance to support service delivery

* Ensure compliance with SCHADS Award (penalties, allowances, overtime, leave) and maintain knowledge of relevant awards, legislation, and best practice

* Maintain roster documentation, transparency, and accurate records of shifts, leave, and absences

* Communicate rosters, shifts, and changes to staff; serve as first point of contact for rostering queries; guide staff on roster expectations

* Monitor timesheets for accuracy, approve contingency/extra hours, and support payroll processing and staff award queries

* Produce reports on staffing, coverage, absences, overtime, and compliance; analyse trends to inform workforce planning

* Review and improve rostering processes and systems; streamline roster communication and approvals

* Support workforce engagement and retention through effective rostering practices and staff guidance

Essential Experience & Skills :

* Proven experience in rostering or workforce coordination in social, community, or disability services

* Strong organisation, time-management, and problem-solving skills

* Excellent communication and interpersonal skills

* Ability to work under pressure and manage competing priorities

* Attention to detail in rostering, reporting, and payroll support

* Understanding of trauma-informed practice and relationship-based care

* Proficiency with rostering software and Microsoft Office

* Strong understanding of youth development principles, safeguarding, and cultural diversity.

* Creative, flexible, and resourceful approach to program design and delivery.
