UGL Regional Linx (UGLRL) is a subsidiary of UGL headquartered in Orange, NSW, with regional depots throughout the state. We focus on creating job opportunities in regional and rural communities, with over 85% of our workforce based in regional NSW. UGLRL manages the Country Regional Network, ensuring safe transportation of people and goods across NSW.
Job Purpose
The Executive Assistant and Office Manager will be accountable for the delivery of administration and secretarial support to the Senior Leadership Team (SLT). This role includes providing confidentiality in all sensitive matters and executing duties efficiently. It is a temporary role that may become permanent.
Key Responsibilities
* Greets all visitors and makes them feel welcome to UGL Regional Linx.
* Communicates in a positive and professional manner in all interactions.
* Screens and takes messages and makes phone calls on behalf of the management team.
* Creates and edits documentation, correspondence, emails, and presentations on behalf of the management team.
* Establishes and trains the Administration Assistant on general office protocols.
* Coordinates and manages the workload of the Administration Assistant to ensure equitable and efficient distribution of responsibilities.
* Recommends training and professional development opportunities for the Administrative Assistant.
* Provides backup to the Administrative Assistant when required.
Qualifications
* Minimum of 3 years previous experience in an Executive Secretary / senior Team Assistant or Personal Assistant role.
* High emotional intelligence with interpersonal skills and the ability to deal with difficult people and situations.
* Able to always interact at all levels in a professional and respectful manner.
* High competency in the Microsoft Office Suite of Packages, MS Word, MS Excel & MS PowerPoint.
