Inglewood & Districts Health Service (IDHS) is situated in the Shire of Loddon and provides services to more than 5,500 residents in the communities of Bridgewater, Inglewood, Korong Vale, Newbridge, Serpentine, Tarnagulla, Wedderburn and surrounding townships.

All IDHS facilities are conveniently located on one site – encompassing urgent care, acute, community and residential aged care.

IDHS also offers a diverse range of services including diabetes education, community and district nursing, counselling, cardiac rehabilitation, planned activity groups, volunteer and strength training programs.

Position Title: Administration Officer – Client Services Support

Classification: HS1

Salary range per hour: $29.57 + casual loading + superannuation + generous salary packaging options

Role description

The Administration – Corporate Services role is responsible for delivering high-level administrative support to the Corporate Services team. This position plays a key part in ensuring smooth day-to-day operations across a range of functions, requiring strong attention to detail, excellent communication skills, and a commitment to providing quality service in a professional and respectful manner.

Key Responsibilities

* Provide courteous, compassionate service to patients, residents, visitors, and staff, maintaining dignity, confidentiality, and respect at all times.
* Answer and transfer incoming phone calls efficiently; take and relay accurate messages.
* Respond to in-person and telephone enquiries at the ward or reception area in a friendly and professional manner.
* Perform front desk cash handling duties in accordance with established procedures.
* Support the coordination of transport and fleet bookings.
* Assist with appointment scheduling and related administrative tasks.
* Order and manage consumables following organizational procurement guidelines.
* Deliver a broad range of administrative support services across the IDHS Organisation as needed.
* Assist in preparing employee rosters and review them with Team Leaders.
* Review employee timecards in KRONOS each fortnight to prepare for approval.
* Accurately enter and maintain employee rosters in the KRONOS system.
* Organise meetings and take clear, professional minutes when required.
* Respond promptly and professionally to internal and external queries.
* Support the management and filing of medical records, including:
* Completing and verifying patient admission documentation, including consent and election status forms.
* Entering accurate patient admission data into the patient management system.
* Maintaining inpatient medical records, ensuring timely assembly and return of discharged files.
* Assisting with monthly file collection for the Health Information Manager and completing filing post-coding.
* Carry out additional duties relevant to the position and aligned with the employee's qualifications, skills, and experience.
