The purpose of the role is to manage the registration and distribution of documents, reports, audits and administratively support the Civil Infrastructure Project Team.
Responsibilities
• Ensuring that the project team can at all times easily retrieve up to date data from the document management system associated with the project.
• Utilise the Document Management System to ensure its currency, meeting the program/projects contractual obligations, including working with team members to register documents in the work system and filing as appropriate
• Provide Project Support / Document Control support to the entire Contract Administration and Verification Team (Administrator, Administrators Representative, Site Engineer and Inspector(s)) as well as the Principals Representative.
Furthermore the role could include, but may not be limited to;
• Letter drafting and proof reading
• Filing documents
• Typing meeting agendas
• Recording and typing up meeting minutes
• Upload photos/videos into the Projects Network Directory
• Update Contract Folders
• Coordination of documents and reports
• Establishing & maintaining spreadsheets / registers
• Manage multiple tasks and prioritising
• Establishing and maintaining effective working relationships;
• Well developed organising and problem solving skills;
• High attention to detail;
• Committed to HSE & QA Policies and procedures.
Prior work experience or exposure; internally &/or externally to Road Construction Companies &/or Consultants &/or the Dep't of Transport & Main Roads &/or any other Australian Road Authority would be ideal.
Also associated Gov't programs, policies, standards & specifications would also be a distinct advantage along with your well-developed interpersonal and communication skills.
Mandatory Requirements
• Demonstrable working knowledge of Document Management Systems
• Confident with MS Office products including MS Excel, MS Word, MS Teams and MS Outlook & demonstrably competent touch typist.
• A valid driver's licence, reliable car and own mobile phone.
• At least 2 years' experience in a prior Document Control role on Australian Road Infrastructure or similar Construction type projects and be able to provide 3 contactable referees.
The roles are proposed to be 5 days per week & based on the Gold Coast.
You must already be living in Australia, have the right to work in Australia & preferably already living in the Gold Coast region able to drive to/from the Gold Coast to your home on a daily basis as FIFO or DIDO are not an option.
Unfortunately, International Candidates who are not already living in QLD & without any local Road Infrastructure experience are unable to be considered due to the strict local adherence to Quality Assurance Systems & unwillingness of our client to fund Visa / Sponsorship or O/Seas relocation.
