Accounts Administrator – Commercial Property Management
Are you an organised and detail-driven professional with a knack for property accounts? Join our dynamic Commercial Property Management team, where you'll play a key role in supporting financial operations across a diverse portfolio.
What You'll Be Doing
Financial Operations & Reconciliation
1. Manage daily receipting of incoming payments and accounts receivable entries
2. Handle bank reconciliations with accuracy and timeliness
3. Process supplier invoices and coordinate weekly payment runs, ensuring all compliance checks are met
4. Communicate with creditors to confirm payment schedules, negotiate extensions, and arrange payment plans where needed
Bond & Reconciliation Management
1. Oversee security bond lodgements, refunds, and tracking processes
2. Finalise vacate reconciliations and ensure accurate processing of make-good costs
Administrative Coordination
1. Keep multiple shared inboxes up to date and actioned
2. Assist in preparing outgoing budgets and contribute to year-end financial close tasks in collaboration with the Trust Accountant
3. Distribute budgets and EOFY reports to tenants and landlords
Leasing & Data Administration
1. Support leasing workflows, including agreement execution, invoice generation, and booking confirmations
2. Input lease and company data into our property management system (Cirrus 8)
3. Review lease documentation (Agreements to Lease, Disclosure Statements, REISA contracts) and liaise with internal stakeholders
4. Coordinate digital signing through platforms such as DocuSign and Adobe Sign
5. Manage monthly and quarterly rent reviews, from calculations to correspondence
Team & Stakeholder Support
1. Work closely with the Commercial Management Team to ensure smooth day-to-day operations
2. Handle tenant and landlord communications via phone and email
3. Utilise a suite of software tools including Cirrus 8, Xero, Microsoft Office, Adobe Acrobat Pro, and electronic signing systems
Who You Are:
1. A highly organised, process-oriented team player
2. Confident managing both financial tasks and administrative details
3. Experienced with property or lease administration (preferred but not essential)
4. Tech-savvy and comfortable navigating property software and digital tools
