ABOUT THE ROLE
Norton Gold Fields is seeking a highly organised and detail-oriented Haulage Maintenance Administrator to support our Mobile Maintenance team.
Reporting to the Haulage Maintenance Superintendent, this role is responsible for providing administrative, purchasing, reporting, and data management support to ensure the efficient operation of the haulage maintenance function. Working closely with supervisors, planners, trades personnel, procurement, finance, and operational teams, you will play a critical role in maintaining accurate maintenance records, coordinating purchasing activities, supporting compliance requirements, and ensuring the department operates efficiently and effectively.
This is an excellent opportunity for an experienced maintenance administrator who enjoys working in a fast-paced mining environment and takes pride in delivering high-quality support services.
WHAT YOU WILL BE DOING
Administration & Reporting
* Provide administrative and clerical support to the Haulage Maintenance Department.
* Maintain accurate maintenance records, databases, registers, and filing systems.
* Prepare and distribute weekly and monthly reports, including safety statistics, purchase order status reports, and fuel reconciliations.
* Manage department documentation and ensure records remain audit-ready and compliant.
* Support roster administration, leave records, shift changes, and contractor purchase order allocation.
Purchasing & Procurement Support
* Raise purchase requisitions and support purchasing activities in accordance with company procedures.
* Track purchase orders, goods receipting, invoice processing, and supplier deliveries.
* Coordinate urgent procurement requests to minimise operational downtime.
* Investigate and resolve invoice discrepancies and purchasing issues.
* Maintain accurate procurement documentation and audit trails.
Compliance & Data Management
* Maintain statutory maintenance records and compliance documentation.
* Support internal and external audits by providing accurate records and reports.
* Ensure maintenance data is entered accurately and within required timeframes.
* Maintain document control systems and departmental SharePoint libraries.
Safety & Operational Support
* Assist with hazard reporting, safety documentation, and incident management records.
* Enter and track hazards and corrective actions within company safety systems.
* Support safety reporting requirements and departmental compliance initiatives.
* Promote and support a positive safety culture across the maintenance department.
Onboarding & Travel Coordination
* Coordinate onboarding activities for new maintenance employees.
* Arrange inductions, system access, PPE requirements, and onboarding documentation.
* Coordinate flights, accommodation, and travel arrangements for maintenance personnel.
* Manage roster-related travel changes and maintain accurate travel records.
General Department Support
* Manage department consumables, stationery, PPE, and crib room supplies.
* Support cost control initiatives through accurate purchasing and administrative processes.
* Assist the maintenance team with additional administrative duties as required.
ABOUT YOU
You are a motivated administrator with strong organisational skills, excellent attention to detail, and experience supporting maintenance or operational teams within a mining, industrial, or heavy industry environment.
QUALIFICATIONS
Skills & Experience
* Previous experience in a maintenance administration, maintenance support, or similar role.
* Experience working within a mining or heavy industry environment highly regarded.
* Strong understanding of purchasing, invoicing, and document control processes.
* High level of accuracy and attention to detail.
* Strong organisational and time management skills.
* Ability to work effectively in a fast-paced operational environment.
Computer Skills
* Advanced Microsoft Office skills, including Excel, Word, Outlook, and PowerPoint.
* Experience using maintenance management systems such as SAP, Entire, Pronto, or similar systems highly regarded.
Communication Skills
* Strong written and verbal communication skills.
* Excellent interpersonal skills and customer-focused approach.
* Ability to build positive working relationships across multiple departments and stakeholders.
