About Mackay Private Hospital

Mackay Private Hospital is a leading provider of first-class rehabilitation and mental health care in the heart of Mackay. Our 34-bed private hospital is known for its high-quality and specialised rehabilitation programs, comprehensive facilities including a large magnesium hydrotherapy pool, quality care with personal touch and remarkable patient outcomes.

We are seeking an organised, skilled, and welcoming administrative professional to provide effective, accurate, and comprehensive support across our diverse healthcare operations. As part of a small, highly capable team, you will thrive in an environment where no two days are the same, working collaboratively to get the job done.


The Opportunity:

This exciting administrative role supports our busy medical clinics and hospital. The successful candidate will serve as the welcoming face and voice of the hospital and clinics, answering phone calls and greeting patients. You will play a vital role in ensuring exceptional care and service to patients, doctors, and staff.


Key Responsibilities:

* Manage clinic and doctors' schedules with great precision to ensure smooth operations.

* Meticulously maintain electronic health records, charts, and all sensitive patient information.

* Promptly and accurately bill patients, submit insurance claims, and follow up on payments.

* Coordinate referrals and external appointments, communicating details to patients and providers.

* Address patient questions and concerns with empathy, sensitivity, and utmost professionalism.

* Assist in administrative tasks to support hospital operations as needed.

This position requires availability to work 25 hours per week, including a 6-hour clinic on Saturdays, and flexibility to work until 5 pm on Thursdays and Fridays, with opportunities for increased hours as the clinics grow.


Essential Qualifications & Skills:

1. Minimum 12 months experience in medical reception and customer service roles, preferably within a healthcare setting.

2. Ability to work with patient management software.

3. Ability to remain calm and professional in stressful situations.

4. Excellent initiative and organisational skills to prioritise work.

5. Ability to work independently and within a team.


Desirable Qualifications & Skills:

1. Recent Experience as a receptionist in medical specialist rooms preferred.

2. Knowledge of or ability to quickly acquire knowledge of general Medicare/DVA, WorkCover & Health fund billing.

3. Experience with practice management software (knowledge of Blue Chip and Medical Director preferred).

4. Demonstrated exceptional customer service.

5. Recognition of privacy and confidentiality laws.
