Practice Manager / Operations Lead – Healthcare

As the service continues to grow, we are seeking an experienced Practice Manager to lead and strengthen our day to day operations.
The Role
As Practice Manager, you will lead the administrative function of the practice and be accountable for its operational performance.
You will oversee the administrative team, maintain workflow efficiency, ensure compliance standards are met and support clinicians through strong operational coordination.
Established systems and processes are in place. Your role is to bring consistency, accountability and steady leadership to ensure they operate at a high professional standard.
This role requires calm leadership, clear boundaries and consistent communication standards within a sensitive clinical environment.
You will work directly with the Director and have delegated authority for day to day administrative leadership, including team performance, workflow standards and operational decision making, with clear accountability for operational outcomes.
Work 9-5pm in the office (no weekend work)
This is primarily an in office leadership role based in Queanbeyan.
Responsibilities
* Lead and manage all administrative operations across the service
* Manage and develop a small but growing administrative team (currently 5 staff)
* Supervise and performance manage the team with clear expectations, accountability and measurable standards
* Oversee clinician onboarding, scheduling and workflow coordination
* Maintain Medicare billing accuracy and ensure privacy and compliance standards are upheld
* Monitor and report on agreed operational KPIs across workflow efficiency, team performance and billing accuracy
* Optimise the use of Halaxy and other core systems to support efficient service delivery
* Maintain clear SOPs and ensure operational processes are consistently followed
* Set and uphold professional communication and service standards across the administrative team
* Identify and implement practical improvements to increase efficiency, accuracy and overall service quality
About You
* At least 5 years experience in practice management, healthcare operations or senior medical administration
* Highly organised, dependable and confident in your leadership approach
* Demonstrated experience leading teams with clear standards and accountability
* Strong understanding of Medicare billing and healthcare compliance
* Proficient in Halaxy or comparable medical practice software, with the ability to quickly learn new EMR platforms
* Experience in specialist medical, mental health, pharmacy or allied health environments highly regarded
* Demonstrated ability to lead calmly under pressure and manage sensitive situations with discretion and professionalism
* Comfortable holding standards, making decisions and addressing underperformance when required
* Australian citizenship or permanent residency with full working rights required
* Experience supporting clinicians delivering psychiatric and psychological care is highly regarded.
