Office Administration Assistant: Supporting Office Manager, Sales Manager, Legal & Compliance, and HR departments.

Job Purpose
We seek a motivated and organized Office Administration Assistant to support our operations across Australia and New Zealand, including support for sales managers, Legal Counsel, and HR. The role requires excellent administrative skills, attention to detail, ability to manage multiple tasks, prioritize workloads, and maintain discretion. You will play a key role in ensuring smooth daily operations and contributing to our regional success.
Responsibilities
Facilities Administration:
Manage facilities email inbox for rent, parking, and office invoices.
Process invoice payments, create purchase requisitions, and set up suppliers.
Maintain Office Carpark Registers for Australia and New Zealand.
Liaise with Building Managers as needed.
Office & Sales Support:
Coordinate office events and functions, including remote offices.
Provide admin support such as scheduling meetings, preparing tenders or proposals.
Serve as contact for remote offices (Brisbane, Melbourne, New Zealand).
Assist with reception duties as required.
Support managers with diary management, travel, and expenses.
Legal & Compliance:
Manage Legal inbox, assist with contracts and agreements.
Obtain approvals and signatures for legal documents.
Register agreements electronically.
Handle insurance certificates and legal documentation queries.
Assist with tender responses.
HR Administration:
Support HR onboarding and offboarding, purchase requisitions, and organizational charts.
Administer employee benefits like insurance and superannuation.
Support special projects as needed.
Candidate Profile
Experience in a corporate or similar role.
High professionalism and confidentiality.
Proficiency in Microsoft Teams, Word, Excel, PowerPoint, Outlook.
