We are working with an innovative medtech startup to find a seasoned Projects & Operations Coordinator to take ownership of end-to-end product delivery, manufacturing coordination, and team operations. This is a broad, highly autonomous role requiring a mature professional who can confidently manage the office and keep production moving when executive leadership is off-site.
About the role
While the company has a dedicated project coordinator handling the electronics and firmware sub-contractors, your focus will be on the broader, non-electronics scope of the business. You will work hand-in-hand with the technical team to ensure that the entire lifecycle—from design transfer and usability testing through to physical manufacturing—runs like clockwork.
A major part of your week will involve guiding the team through weekly production schedules. You will be the steadying force that anticipates roadblocks, helps the production team course-correct when they fall behind schedule, and coordinates the receipt and rigorous testing of new devices.
The team will rely on you to:
* Plan and guide weekly production schedules while actively helping the manufacturing team troubleshoot and get back on track if delays occur.
* Take charge of day-to-day office operations and provide steady leadership to the team when executive leadership is off-site.
* Collaborate closely with the dedicated Electronics Project Coordinator to manage end-to-end product delivery.
* Coordinate the receipt of prototype and production devices, managing comprehensive usability, verification, and validation testing cycles.
* Manage external suppliers and manufacturers to ensure all production strictly adheres to medical device regulatory frameworks and ISO 13485 standards.
* Translate usability data and user insights into actionable design improvements in collaboration with the wider product team.
* Maintain delivery discipline across the team by clarifying priorities, tracking milestones in Jira/Confluence, and enforcing Quality Management System (QMS) processes.
Ideally you have:
* Experience in New Product Development (NPD) and commercial delivery within a highly regulated industry, ideally medical devices (or similar).
* The professional maturity and confidence to lead operations, manage small teams, and run the office independently when required.
* Hands‐on experience guiding production/manufacturing schedules and directly supporting teams to meet tight deadlines.
* A degree in Engineering (Manufacturing, Mechanical, Mechatronics Biomedical, etc) paired with strong project management capabilities.
Bonus points if you also have:
* Direct experience managing physical device testing, usability trials, and laboratory validation.
* A track record of successfully bringing at least one commercial physical product from concept to market.
* Familiarity with medical Quality Management Systems (ISO 13485) and international regulatory standards (FDA, TGA).
* Experience working in a lean, fast-paced startup or scale‐up environment where cross‐functional collaboration is essential.
