LCI is seeking an enthusiastic Administration Officer based in our Sydney office. We are an engineering design house specialising in building engineering services. We employ over 270 staff within six offices across Australia. Key Responsibilities
Greet guests and notify staff of their arrival.
Answer phones and direct calls in a professional manner.
Manage calendars for meeting rooms, set up and clean up for meetings and events.
Purchase and manage PPE, office and kitchen supplies (both instore and online) when required and requested.
Maintain office environment in good order.
Set up the kitchen, pack/unpack the dishwasher – maintaining the kitchen on a regular basis throughout the day.
Make travel arrangements, including booking of flights, hire cars and accommodation as requested.
Event management for social club and employee functions.
Assist with preparation of office presentations.
Submit expenses for Directors.
Support with monthly invoicing and forecasting.
Assist with Purchase Orders.
Perform weekly reconciliation.
Support staff with submitting expense claims and timesheets via PIM.
Set up new clients, contacts, organisations in PIM.
Liaise with office building managers and cleaners when needed.
First Aid Officer and Fire Warden Officer duties.
Attend and contribute to national administration team meetings.
Support the business with current matters and adapt to new challenges in line with the growth of LCI nationally.
Manage multiple registers such as PPE, First Aid kits.
Assist with organising couriers/deliveries.
Assist and complete tasks forwarded by Office Manager.
Ensure new staff in the Sydney office have office access cards on their first day.
Set up workstations for new staff as required.
Assist with set-up of prospects and projects as required.
Support Finance and Marketing Team as required.
Required Qualifications
Hardworking and well presented.
Have good verbal and written communication skills.
Have an attention to detail and a desire to learn.
Reliable and punctual.
Demonstrated administration experience, proactive and highly motivated, with a strong commitment to delivering their best.
Previous experience with Microsoft Office desired.
