As a Compass Real Estate Virtual Assistant, you will play a critical role in supporting real estate agents and teams by ensuring seamless transaction coordination, marketing execution, and client communication.
Responsibilities
* Coordinate end‐to‐end real estate listings from pre‐listing through launch and post‐launch follow‐ups
* Draft and review contracts, disclosures, and transaction documents based on agent instructions
* Manage contract‐to‐close timelines, milestones, compliance, and accuracy
* Facilitate daily communication with clients, agents, escrow, vendors, and internal teams
* Track multiple transactions and deadlines simultaneously
* Maintain and update Compass CRM, including contact tagging and database organization
* Create and distribute newsletters and email campaigns
* Update brand book, listing presentations, and marketing collateral
* Support listing marketing by inputting listings, coordinating photography, and preparing launch materials
* Assist with social media and digital marketing execution
* Ensure error‐free documentation and marketing outputs
* Proactively identify gaps and streamline workflows to enhance operational efficiency
Qualifications
* 3+ years of real estate transaction coordination experience, including contract‐to‐close management
* Experience coordinating end‐to‐end real estate listings from pre‐listing through launch and post‐launch follow‐ups
* Proficiency with Compass CRM for contact and database management
* Experience using real estate transaction and contract tools such as DocuSign, Dotloop, SkySlope, Glide, and Google Drive
* Experience using email marketing tools such as HubSpot and Mailchimp (or similar platforms)
* Strong attention to detail with contracts, disclosures, and compliance documents
* Experience coordinating with real estate stakeholders including clients, agents, escrow/title, and vendors to manage transaction milestones and deadlines
* Professional English proficiency for client and agent communication
* Experience handling confidential client data in accordance with brokerage confidentiality and compliance policies
* Available to work during US business hours (Pacific and/or Central Time)
* Reliable computer and internet suitable for full‐time remote work
