The Role:
We are seeking an experienced Business Services Officer to provide a broad range of administrative and operational support to a dynamic office environment. The successful candidate will be the first point of contact for workgroup staff and/or the public, ensuring smooth and efficient administrative operations. This role requires versatility, attention to detail, and the ability to manage competing priorities in a fast-paced office setting.
Key Responsibilities:
· Serve as the primary contact for administrative support across assigned workgroups or depots.
· Manage training activities including employee compliance, generating and analysing reports, creating training plans, and maintaining licence records.
· Handle procurement and purchasing activities using SAP, including raising purchase requests, obtaining quotes, utilising E-Catalogues, and goods receipting.
· Coordinate travel bookings, including accommodation, flights, ferries, and hire cars for field personnel, liaising with vendors and travel management systems.
· Support payroll processes, including timesheet review, entry of reimbursements, claims, and LAFHA.
· Assist with safety initiatives, including preparation of agendas, minutes, and supporting campaigns.
· Perform data entry, archiving, and project-related administrative tasks.
· Maintain accuracy and compliance with internal processes and regulatory requirements.
· Collaborate with internal teams to support smooth and efficient office operations.
Essential Skills and Experience:
· Previous experience in administrative support, preferably with exposure to training management, procurement/purchasing, travel coordination, payroll, and safety support.
· Strong attention to detail with the ability to manage multiple priorities and conflicting deadlines.
· Moderate proficiency in Excel and other Microsoft Office applications.
· Excellent communication and interpersonal skills.
· Ability to work independently and collaboratively in a fast-paced office environment.
· C Class Driver's Licence is required.
