Primary objective
Provide high level executive support, coordination and advice to the Deputy Chief Executive (DCE) and other Divisional
executives, including overseeing Ministerial, Cabinet, Legislative Assembly and Budget processes, policy development,
records and information management and corporate governance reporting, to ensure the successful delivery of Divisional
goals and Departmental strategic priorities.
Key duties and responsibilities
1. Support the DCE in the delivery of the Department's and Division's strategic and operational objectives, priorities and
the day-to-day operation and business of the Office of the DCE.
2. Prepare, manage and review Cabinet Submissions, Ministerial, Legislative Assembly and Estimates briefings, memos,
media briefs, communication plans, reports and other written correspondence.
3. Research and prepare high level advice and information on diverse and complex policy, planning and operational matters,
including developing options and making recommendations, to facilitate informed decision making.
4. Provide high-level secretariat services for various committees and steering groups including the preparation of agendas,
meeting minutes and briefing papers.
5. Work collaboratively with the DCE, executives and other staff in the Divisions to collectively improve the quality,
effectiveness and efficiency of the Divisions' service delivery, including the development and implementation of
enhanced administrative practices, policies and procedures to support quality outcomes.
6. Coordinate, undertake and monitor corporate governance reporting included but not limited to audit, risk and key
performance indicator related activities.
Selection criteria
Essential
1. Excellent written and oral communication skills including the ability to prepare accurate high-level documents, reports,
briefings, presentations and other correspondence, with sound attention to detail.
2. Demonstrated ability to work collaboratively as part of a high performing, diverse team, while establishing and
maintaining effective partnerships with key internal and external stakeholders to identify and deliver high quality business
outcomes.
3. Well-developed problem solving skills including ability to exercise sound judgement, apply lateral thinking to identify and
resolve issues, discern when to escalate emerging issues and consider political sensitivities.
4. Proven ability to work independently and flexibly with minimal direction while proactively managing competing priorities
and strict deadlines.
5. Ability to use initiative, anticipate needs, undertake research and be proactive in preparing and/or obtaining clear, concise
and relevant advice.
6. Experience working in a fast-paced executive setting, providing high level secretariat support to committees and working
groups, with a sound understanding of governance frameworks.
7. Comprehensive knowledge of and experience in contemporary best practice business management and performance
monitoring and reporting.
Desirable
1. Tertiary qualification in business or similar.
