Administrative Support Specialist
We are seeking a highly skilled Administrative Support Specialist to join our team. This is a busy and varied role that will encompass all elements of an Office Manager position with some additional responsibilities.
* Provide administrative support including daily office operations and ensure the office runs smoothly.
* Run fortnightly payroll for contracting team, create contracts for temporary workers, and assist with their onboarding to our payroll system.
* Support creation of proposal documentation, assisting with RFP processes, preparing documentation and remaining in communication with clients and candidates.
* Manage event logistics; acquire venues, book catering, advertise events, and oversee overall smooth running.
* Send placement information for invoicing to accounts team.
* Make regular updates to website (WordPress), edit and design pages as needed.
* Assist consultants to manage full recruitment process – shortlisting CVs, pre-screening candidates, job advert writing, coordinate interview schedules.
* Update and manage CRM system.
* Manage social media and marketing presence; publish content on LinkedIn account and create marketing assets as required.
* Facilitate onboarding of new recruiters, setting up workstations and access to systems.
* Greet clients, visitors, and other external guests in a professional manner.
* Monitor and manage office supplies inventory. Order new supplies as needed and ensure cost-effectiveness.
* Oversee management of virtual team assistant.
* Coordinate with building management on office maintenance, safety, and security.
To be successful in this role, you will have previous experience in an administration role with adeptness in multitasking and meticulous attention to detail. Discretion and professionalism are paramount, ensuring confidentiality in handling sensitive information.
