The Medical Receptionist is responsible for delivering professional front-of-house services and providing high-quality administrative support to the SCR team. This role is central to ensuring an efficient and positive experience for visitors and staff, supporting meeting coordination and providing general administrative support to the EA & Operational Administrator and wider team.
Key Accountabilities / Responsibilities:
* Greet and assist visitors in a professional, welcoming, and confidential manner.
* Manage incoming calls and enquiries, including accurate screening, triage, and message taking.
* Maintain reception and waiting areas to a high standard (presentation and readiness).
* Support visitor management processes (sign-in requirements, directions, meeting notifications).
* Other responsibilities as discussed with the SCR Manager
Meeting and Office Support:
* Coordinate meeting logistics including room bookings, calendars, and basic meeting set-up support.
* Liaise with internal staff and external stakeholders to support efficient scheduling and meeting management.
* Provide general administrative support to the Office Manager and wider team (as required).
* Assist with documentation collation, filing, records support, and administrative tasks as directed.
Finance Administration Support:
* Processing Medicare payments
* Assist with basic tracking tasks and administrative follow-up to support timely reconciliation processes.
Quality, Compliance and Confidentiality:
* Always maintain confidentiality and discretion, consistent with a healthcare/clinical research environment.
* Follow SCR policies and procedures relevant to reception, office administration, privacy, and security.
* Identify and escalate operational issues, risks, or recurring problems to the EA & Operational Administrator
Key Relationships:
* Internal: EA & Operational Administrator; Executive and senior staff; administration support; clinical teams; facilities/contact points
* External: Visitors; vendors; couriers; contractors; other service providers.

Qualifications / Experience:
* Preferred: Minimum 2–3 years’ experience in a medical receptionist or medical administration/support role.
* Experience in healthcare, clinical research, or a regulated environment.
* Experience supporting administrative processes involving reconciliation, documentation, or compliance requirements.
* Comparable experience in a high-volume customer service environment will also be considered
