An exciting opportunity has become available for a Receptionist/ Administrative Assistant to join Squire Patton Boggs in our Perth Office. If you enjoy being the welcoming face of an office and take pride in delivering exceptional client service this role could be for you.
About The Role
You'll provide integral administrative support to our legal secretarial team, helping keep the office running smoothly day to day. In addition, you will provide quality front of house and events services, being the first point of contact for clients, visitors, and callers, and ensuring every interaction reflects the values of our firm.
Key Responsibilities Will Include
Administrative Assistant
* Assist with file management including the opening and closing of files and ensuring all relevant documents are filed correctly.
* Answer phone calls and take accurate messages
* Diary management
* Assist with monthly billing processed and expense reconciliations
* Drafting basic correspondence
* Assist with the preparation and compilation of briefs and other court related documents.
* General administrative duties, as required, such as printing, photocopying and scanning
* Assisting secretaries, where required, including periods of leave.
Receptionist
* Greeting and welcoming visitors at the office.
* Transferring phone calls and taking messages effectively.
* Manage and maintain meeting rooms.
* Coordinate facilities support for the office.
* Maintaining kitchen inventory.
* Manage catering for meetings and seminars and assist Business Development & Marketing with event requirements.
* Other duties, as required.
What You Bring
* At least one year relevant experience in a professional office working as a receptionist/office administrator or secretary.
* A high service ethic and 'can do' approach.
* High standard of personal presentation and grooming.
* A strong team player.
* Very good interpersonal, written and verbal communication skills.
* Strong organisational and time management skills.
* Ability to work with minimal supervision.
* Intermediate computer literacy, including MS Office, email and electronic filing.
* Sound understanding of AV equipment.
