It is a pathway college offering University Foundation Studies and Diploma programs for students who have not met the direct entry requirements into Bachelor degrees at Western Sydney University. Job Description
The Student Services Officer is responsible for providing high quality reception services to internal and external stakeholders of the College. They are the first point of contact for enquiries and assist with general administrative activities.
What you'll do
* Provide high quality reception and student administration for WSUIC, responding to telephone, email and in‑person enquiries on a range of student related matters including enrolment, student fees, immigration requirements and progression to Western Sydney University.
* Ensure the efficient management of incoming calls, including enquiry referral in accordance with operational guidelines.
* Organise and order catering as required and assist with all college events.
* Undertake ordering and maintenance of stationery, office machines and kitchen supplies.
* Maintain general office space, store rooms, teaching staff rooms and kitchen areas; arrange for equipment maintenance.
* Provide administrative assistance with general office duties including photocopying, printing and filing.
* Manage the meeting agenda for staff meetings every fortnight.
* Maintain student forms for reception.
* Access and update student records on the student management system, including contact details and academic notes.
* Process student requests including replacement of documents and confirmation letters.
* Schedule student appointments.
* Send, receive and distribute mail, handle enquiry emails, arrange freight, courier deliveries and reconcile accounts.
* Other general duties as required.
Qualifications
Essential
* Completion of a diploma level qualification with relevant work‑related experience, or a certificate level qualification with post‑certificate relevant work experience, or an equivalent combination of experience and education/training.
* Well‑developed administration and communication skills, high level of accuracy and attention to detail to undertake basic financial transactions and data entry.
* Demonstrated commitment to high standards of customer service in a cross‑cultural environment, able to communicate professionally and confidently with students, external clients, agents and staff at all levels.
* Proficient computer literacy in standard operating systems such as Microsoft Word, Excel and Outlook.
* Ability to work effectively in a busy team environment.
Desirable
* Previous experience in an education environment.
* Previous experience in organising student events and excursions.
