Coastal Property Agents is seeking an experienced and motivated Personal Assistant to join Brodie Wales’ successful team. This is an exciting opportunity to work in a quick-paced, supportive environment and play a pivotal role in delivering exceptional service to both sellers and buyers.
This position is based in our Upper Coomera office and will include Saturday work to support open homes and buyer call-backs.
About the Role:
As the Personal Assistant to Brodie Wales, you will be responsible for supporting all aspects of the sales process — from preparing properties for market through to settlement. You’ll play a crucial part in managing buyer relationships, coordinating marketing, and keeping everything running seamlessly behind the scenes.
Key Responsibilities:
- Pre-Listing & Property Preparation: Coordinate with property managers, sellers, and trades to ensure properties are market-ready. Organise marketing invoices, Form 2 disclosure statements, certificates, and compliance documentation. Book styling, cleaning, and photography for upcoming listings.
- Buyer Management: Register and follow up with all buyers from open homes. Enter buyer details into the CRM, set follow-up reminders, and maintain accurate records. Respond to enquiries promptly, provide property details, schedule appointments, and keep buyers engaged throughout the process. Conduct call-backs following open homes and inspections to gather feedback and drive buyer interest. Cross-reference buyer details with RP Data and link them to relevant properties in the database.
- Marketing & Social Media: Draft advertising copy, create brochures, and coordinate marketing materials. Post “Just Listed” and “Just Sold” updates on social media and share reels, stories, and property updates. Liaise with the seller for approvals on all marketing material.
- Open Home Support: Attend open homes on Saturdays to assist with setup, greet buyers, and manage enquiries. Ensure open home kits and marketing materials are prepared and stocked.
- Administration & Reporting: Maintain CRM records for both sellers and buyers. Prepare reports, buyer feedback summaries, and other supporting documentation for the agent. Assist with smooth coordination of settlements and post-sale communication.
About You:
- Minimum 2 years of experience in a real estate administration or Personal Assistant role.
- Current Real Estate Certificate of Registration is essential.
- Highly organised with excellent attention to detail.
- Confident in managing multiple priorities in a busy environment.
- Professional, proactive, and client-focused with strong communication skills.
