About Us
The Queensland Fire Department (QFD) provides fire prevention, preparedness and response services to fire in the built and landscape environments, as well as scientific and specialist capabilities to Queensland communities. The QFD provides a multi‑hazard emergency response, including road crash rescue, bush, hazardous material, technical and vertical rescue, severe weather incidents, remote and swiftwater rescue, and provides a number of functions supporting community safety outcomes. The department encompasses Queensland Fire and Rescue (QFR), Rural Fire Service Queensland (RFSQ), as well as the broader department which work together to pre‑empt, prevent, mitigate and manage the consequences of fires and other emergencies on Queensland communities and support our large volunteer membership across the state. The QFD is an organisation that is focused on reframing the department's relationship with Aboriginal and Torres Strait Islander peoples, communities, and organisations through the Path to Treaty, Closing the Gap and building our cultural capability.
Purpose of the Role

Each regional hub is led by an Assistant Commissioner who focuses on coordination across services, connecting with stakeholders, building capability and ensuring the needs of the community are met through local decision‑making and place‑based service delivery. Reporting to the Assistant Commissioner the regional Executive Support Officer provides high‑level confidential executive and administrative support to the regional Assistant Commissioner, including human resource and financial administration, records management and secretariate duties, as required for the coordination and delivery of QFD integrated services across their region.
Key Requirements
* Highly desirable: Experience with provision of administrative support in a senior executive environment and experience within regional locations.
Responsibilities
* Provide a high standard of confidential executive, administrative and business support which includes screening of phone calls.
* Manage appointment diary, organise meetings, workshops, conferences, travel and other events.
* Collate, prepare briefing documentation, coordinate quality assurance of correspondence, reports, presentations, speeches, agendas, minutes and prepare drafts.
* Monitor, prioritise, register, action and disseminate incoming correspondence to effectively manage critical information and workflows.
* Communicate and liaise with staff, clients and stakeholders on a wide range of issues affecting the regional hub business operations in a professional and positive manner.
* Coordinate the administrative operations of the regional office of the Assistant Commissioner to ensure that practices and activities are delivered in a timely and efficient manner.
* Provide secretariat support as required to meetings and committees by preparing agendas, recording and circulating minutes and following up on actions and outcomes.
* Provide procedural advice and guidance to support staff across the regional hubs and undertake reviews and implement changes to administrative systems (including filing, recording and reporting systems) to improve processes and outcomes.
* Ensure office equipment, resources and supplies are efficiently and effectively maintained.
