The role
As an Export Administrator, you will support the Export Sales team by managing export orders, coordinating shipments and preparing accurate documentation. Working closely with customers, logistics providers and internal teams, you will ensure orders are processed efficiently, compliantly and in line with credit terms, shipping schedules and company procedures.
This role requires strong attention to detail, excellent customer service skills and the ability to collaborate across Sales, Planning, Operations and International Offices. You will play a key part in ensuring smooth end‐to‐end export operations and contribute positively to the success of the wider Sales & Marketing team.
Key Responsibilities
* Process and manage export customer orders accurately in SAP
* Liaise with customers regarding order requirements and minimum order quantities
* Coordinate with Planning and Operations to confirm stock availability and production schedules
* Book vessels, organise FCL and LCL shipments and liaise with logistics providers and hauliers
* Prepare and issue export documentation in line with shipping terms and procedures
* Ensure export documentation is accurate, complete and delivered on time
* Check and process freight invoices related to export shipments
* Maintain effective communication with internal teams, international offices and external stakeholders
* Provide administrative support to the Export Sales team and assist with additional export duties as required
About You
To be successful in this role, you will bring a strong background in export administration along with a proactive, customer‐focused approach. You are highly organised, detail‐oriented and confident managing multiple priorities in a fast‐paced environment.
You Will Also Have
* A TAFE qualification or equivalent in Import/Export, Customs or a related field
* 5+ years' experience managing export orders, documentation and processing
* Experience working with an ERP system; SAP experience is highly regarded
* Intermediate to high proficiency in MS Word and MS Excel
* Excellent time management and organisational skills, with the ability to prioritise competing deadlines
* A proactive approach to customer service and problem‐solving
* The ability to work autonomously with minimal supervision
* A proven track record of high performance in a similar fast‐paced role
* Strong attention to detail and accuracy
* Clear and effective communication skills, with the ability to build relationships with internal and external stakeholders
