The Payroll Officer will be responsible for effectively maintaining payroll information and delivering efficient payroll processes, including accurate and timely processing to all stakeholders, in accordance with relevant legislative, modern award and other requirements.
This role reports to the Financial Controller.
Key ResponsibilitiesResponsibilities include, but are not limited to:Payroll Technical Be established as a subject matter expert within the team due to experience and payroll knowledge and capabilityAct as a point of contact for all payroll matters by providing sound advice and problem-solving techniques for all employees, while maintaining a high level of customer satisfaction Ensure due diligence and compliance with all legislation, approved standards, policies and procedures relating to Payroll's processes Lead various initiatives or process improvements within the team and across the organization Assist in reviewing and maintaining checklists and procedures with an emphasis on process improvement seeking to reduce payroll issues through early identification of potential issues Assist with Payroll system updates relating to changes in legislation and taxation requirements Manage the fortnightly Payroll and ad-hoc pays, with the outsourced processing provider Proactively liaise with HR colleagues to obtain information required (e.g.
new staff details, terminations) to process payments or update systems Maintain electronic employee master file records Complete payroll processing by ensuring accurate and efficient processing of timesheets, leave applications and other adjustments.
Execute the timely processing of the payment of salaries, movements, timesheets, leave, terminations, claims, tax, super, deductions etc.
are completed accurately and on time Maintain the integrity of staff entitlements including leave accruals, salary progressions, allowances, deductions and superannuation etc.
Undertake appropriate record keeping for audit, including income, payroll tax and super Undertake fortnightly and monthly reconciliations and reports are completed and distributed within timeframes Monitor incoming mail and queries, responding or escalating to the Financial Controller where appropriate Undertake month end processes including the reconciliation of Payroll General Ledgers and Payroll Tax Maintain Superannuation, Work Cover, Child Support, Parental Leave and Centrelink payments etc.
Ensure compliance with all legislation, standards, policies and procedures relating to the payment of salaries and escalate any breachCalculate, communicate, and process the appropriate payroll deductions and withholdings for share-based compensation, including accurate calculation and payment of taxes related to share grantsStay up-to-date on relevant tax laws and regulations Client Service Proactively build strong relationships externally, in the team and across the firm, creating a positive and progressive working environment.
Provide general assistance and payroll advice to colleagues with a focus on resolving all matters as required Ensure a high level of customer service and advice is provided to all internal and external customers Act as a point of contact for Payroll matters by providing sound advice and effective problem-solving techniques Maintain the Payroll Inbox and ensure queries are resolved in a timely manner Systems With the support of the Financial Controller, manage the current outsourced payroll provider Work with consultants on requested information and system requirements Set up, test and implement new payroll workflow processes and continually monitor where changes and improvements can be made Experience and QualificationsAble to work independently and within a team environment to meet deadlines Strong communication and stakeholder engagement skills with a customer centric focus Able to effectively prioritize workload and manage conflicting and confidential priorities to meet strict deadlines Advanced problem-solving skills, knowledge and experience in a payroll environment or similar Advanced investigative, analytical and research skills in a payroll or finance environment Advanced proficiency with Microsoft Office, specifically Excel Advanced Knowledge of Australian legislation, tax laws and regulations, industry standards and best practices specific to our industry, or the ability to acquire this knowledge Advanced capability in ADP or a similar Payroll software
