About the role
Urban Legal is hiring an Admin Support (Sydney). Let's be clear upfront: this is not a "sit at the front desk and answer phones" role. Urban Legal is building something different in planning, environmental and local government law. We work on matters that shape cities, communities and how people live. None of that works without people who keep the engine running.
This role sits right at the centre of the firm – working directly with our Practice Manager Rebecca to make sure everything actually functions properly. If you like structure, ownership and being trusted with real responsibility – keep reading. If you don't – adios!!
The role
You'll work closely with Rebecca, our Practice Manager, to support the day‐to‐day running of the firm. This includes:
* Managing emails and keeping things moving (nothing gets lost or ignored)
* Diarising key dates, deadlines and commitments
* Supporting billing processes and learning how legal billing actually works
* Assisting with debtor management – cash flow is crucial
* Keeping files, systems and workflows clean and organised
* Helping improve how we do things (we expect ideas, not just execution)
You'll become a key member of the team
* Highly organised – you naturally create order out of chaos
* Strong attention to detail – you notice what others miss
* Proactive – you don't wait to be told everything
* Comfortable managing multiple moving parts
* Clear communicator (especially in writing)
* Someone who wants to learn how a business actually runs
Experience and qualities we value
Experience in admin or legal environments is a must. However, capability, attitude and curiosity matter the most.
* No pointless busywork
* High trust, high responsibility
* Flexible approach to work (but still accountable)
* Technology is used to make work better, not to monitor you
* You'll work closely with Rebecca – alignment matters
Who we're looking for
Please don't apply if you:
* Let things slip through the cracks
* Think admin work is "just small stuff"
* Avoid responsibility when things go wrong
* Are not interested in improving systems or learning new things
* Are difficult to work with (we protect our culture heavily)
* Are a student currently studying law and think this is a pathway to a solicitor role (it's not)
Why this role matters
You'll actually learn how a business runs. You'll see how legal ops work, how matters are managed and how decisions get made. You'll work closely with Rebecca, and she cares about doing things properly – you'll become very good, very quickly if you lean into it. And you'll be part of a firm that is genuinely trying to do law differently.
