Job Title:Senior Legal Secretary (Administrator)

We are a boutique criminal law firm based in Fremantle, Western Australia. We are committed to providing professional, client-focused legal services in a collaborative and supportive work environment.
The Role:
We are seeking a highly organised, proactive Senior Legal Secretary (Administrator) to join our team with 5 + years experience. This role is essential to the day-to-day operations of the firm, combining high-level administrative support with office and administrative responsibilities. A part time junior secretary assists the role.
Key Responsibilities:
* Professionally answering phone calls and managing messages
* Coordinating lawyers diaries and scheduling appointments and court appearances.
* Assisting with preparation of legal documents and correspondence
* Overseeing office supplies and ordering as needed
* Supporting basic HR functions and staff coordination, including managing law clerks and junior secretary's hours and tasks
* Handling general administrative tasks, including filing, photocopying, and document management
* Managing trust accounting and client billing processes.
Requirements:
* Previous experience in a legal secretary (criminal law experience preferred)
* Strong organisational skills with the ability to multitask and prioritise effectively
* Excellent written, verbal communication and time management skills
* Proficiency with Microsoft Office Suite [365] and legal practice management software
* Strong computer skills, fast and accurate typing
* Experience usingActionstepis highly desirable
* Strong attention to detail and the ability to handle confidential information with discretion
* A proactive and professional attitude with the ability to work both independently and as part of a small team
