Position Title: Admin Support Officer
About the Role
Seeking an experienced and reliable Admin Support Officer to join the Air Ambulance Victoria team. In this role, you will provide high-level administrative and secretarial support in a fast-paced, operational environment. You'll work closely with internal teams and external stakeholders to keep processes running smoothly, particularly during time-critical situations.
Key Responsibilities
*
Provide day-to-day secretarial and administrative support to the AAV unit
*
Assist with meeting coordination, including agenda preparation and accurate minute taking
*
Maintain and improve administrative systems and procedures
*
Support finance-related processes using electronic financial systems
*
Manage records in line with organisational procedures using systems such as Content Manager
*
Draft and format documents, reports, and correspondence
*
Provide timely and professional support during emergency response activities
*
Coordinate tasks related to flight scheduling and logistics
Skills and Experience
Essential:
*
Substantial experience in administrative and secretarial support, ideally in an operational or emergency services setting
*
Confident using financial and information systems for data entry and reporting
*
Excellent attention to detail and a methodical approach to tasks
*
Strong communication and teamwork skills
*
Ability to handle sensitive information with discretion
*
Calm and composed under pressure, especially during critical incidents
*
Willingness to work flexible hours, including outside of standard hours when required during emergencies
Desirable:
*
Experience using electronic procurement systems (e.g. Oracle)
*
Familiarity with flight coordination programs (e.g. AMBFlight)
*
Experience using Air Maestro or similar aviation operations software
*
Background working within Emergency Services or Emergency Management environments
