This role exists to ensure the day-to-day operational stability of the cleaning business by proactively managing schedules, communications, and team logistics — while working collaboratively with management to improve systems, anticipate risks, and support business growth.
This is not a reactive admin role. It requires initiative, commercial awareness, and the ability to operate confidently within a management environment.
Position Overview
The Cleaning Operations & Scheduling Coordinator acts as a central operational link between:
* Cleaners and team leaders
* Clients and management
* Scheduling systems and real-world delivery
You will be expected to identify issues before they escalate, take ownership of outcomes, and contribute ideas that improve efficiency, reliability, and service quality.
As the business grows, this role may support or step into broader management responsibilities, depending on capability and performance.
Key ResponsibilitiesOperational & Scheduling Management
* Proactively manage daily, weekly, and forward-planned cleaning schedules
* Optimise team allocation
* Manage last-minute changes (sick calls, reschedules, access issues) with confidence and speed
* Ensure all scheduling data is accurate, current, and commercially sound
Communication & Call Handling
* Answer inbound calls professionally and decisively
* Act as the first point of contact for client queries, changes, and issues
* Communicate clearly with cleaners regarding schedules, expectations, and updates
* Escalate issues appropriately while resolving what can be handled independently
Team & Management Collaboration
* Work closely with management and team leaders to support operational priorities
* Provide visibility on scheduling risks, staffing gaps, and recurring issues
* Support implementation of new processes, systems, or policies
* Step in to support management functions when required (leave cover, peak periods, change management)
Initiative & Continuous Improvement
* Identify inefficiencies in scheduling, communication, or systems
* Proactively suggest and help implement improvements
* Anticipate problems rather than waiting for instruction
* Take ownership of outcomes, not just tasks
