Role Context and PurposeSt Andrew's Grammar School is a Greek Orthodox day school for children from Kindergarten to Year 12. Located in Perth, Western Australia, the School has a pleasant outlook towards the Darling Scarp from its position in Dianella.

We are seeking a part time Academic Administrator. This is a permanent part time position working 0.5 to 0.6 FTE Monday to Friday.

The Academic Administrator assists and supports the School Leadership Team in the pursuit of the School's Vision and Mission Statements and Strategic Plan and Goals. In doing so, the Academic Administrator holds specific responsibility for the smooth operation of the school teaching programme on a day-to-day basis through the effective management of timetabling and related reporting procedures.

Required Skills, Knowledge and Experience

* Teaching qualifications and experience.
* Working knowledge of the management of educational institutions.
* Knowledge of Synergetic, Timetabler or similar, SAP Crystal Reports and Schoolbox.
* Attention to detail and accuracy.
* Excellent oral and written communication skills.
* Outstanding interpersonal skills and excellent demonstrated ability in customer service and client relationship management.
* Disciplined organisational skills.
* Strong work ethic, independence and ability to work under pressure: striving for continuous improvement and the achievement of high standards.
* Ability to handle sensitive information with absolute discretion.
* Capacity to strategise and work independently and collaboratively.
* Ability to work flexibly to achieve required outcomes.
* Proficiency in Microsoft Office packages.
* Model, promote, and represent the School's Vision, Mission and Values at all times.
* Police Clearance Check.
* Current Working With Children Check and the right to work in Australia.

Key Tasks

* Plan, develop and implement the PreK-12 School timetable.
* Assist the Head of Secondary with the student subject selection process in the Secondary School.
* Ensure the effective production of staff duty rosters for Secondary staff.
* Act as Timetabler to deliver an educationally sound programme reflective of student choices.
* Timetable construction for Secondary.
* Timetable implementation electronically for Primary.
* Work with Assistant Head of Data for School Improvement to resolve issues with staffing and rooming for Primary School timetable.
* Work with Head of Secondary / Assistant Head of Secondary for determination of timetable layout including: number of streams, structure of timetable with respect to class rotation, blocking, gridlines etc, class allocation, staffing requirements, rooming requirements and allocation, electives to be offered in 7 – 10, subject selection process 9 – 12, data collection, data entry.
* Modification of timetable in response to changes in circumstances throughout the year (includes staff changes and room availability).
* In conjunction with the Curriculum Administrator, Head of Secondary, Head of Primary and Assistant Head of Data for School Improvement, manage reporting standards, timeline and publication.
* Report production / modification as required using Synergetic and SAP Crystal Reports.
* Oversight of subject changes and associated database management.
* Semester weighted average data generation.
* Statement of Academic results.
* Semester duty roster changes and updates.
* Monitor and determine solutions to data errors and communication issues between timetabling software, Synergetic database and Schoolbox staff / student interface.
* Supply additional information as required; room usage requirements, staffing requirements.
