Primary objective

As a member of the Northern Territory Police, Fire and Emergency Services Secretariat Unit, the position provides a high

quality and confidential administrative and ministerial liaison service to the Northern Territory Police, Fire and Emergency

Services its Minister and assists the organisation in meeting the organisation's whole-of-government reporting and Cabinet

related obligations.

Key duties and responsibilities

Provision of high-level, confidential administrative support to the Secretariat Unit and other general office duties as required.

Responsible for archiving and maintaining the Territory Records Manager (TRM) system for the Secretariat Unit to ensure

all documents are accurately recorded and handled properly within requested timeframes.

Assist with preparing and finalising agency Ministerial correspondence to a high standard of presentation, checking grammar,

spelling, and adherence to appropriate standard and formatting requirements. Coordinate NTPFES comments on draft

Cabinet Submissions received from NT Government agencies, including maintaining associated records.

Prepare accurate and timely reports on due and overdue Ministerial correspondence as required. Complete thorough

research tasks often involving historical records using TRM, the Government Executive Reporting System and SharePoint.

Provide advice and assistance to agency employees on the preparation of Ministerial correspondence and related documents

and processes. Provide a high quality, effective and timely liaison service between the agency and the Minister's Office and

other NT Government agencies and maintain strong working relationships and support to Minister's officer.

Selection criteria

Essential

1. Demonstrated interpersonal communication skills, including the ability to communicate effectively with people at all

levels, including the ability to operate in a Command/Rank culture and Executive environment.

2. Demonstrated high level of written skills, including preparing simple correspondence and proofread the work of others,

with a high level of attention to detail and ability to work in a rigorous, procedures-based environment.

3. Demonstrated knowledge of office administration procedures and high level of skills and proficiency in the use of Word

processing and other office software applications and databases.

4. Demonstrated experience working in a busy Executive environment, the ability to organise and prioritise workload with

minimal supervision or as part of a team, and the flexibility to work occasional extended hours if required.

5. Knowledge of Ministerial, Cabinet and parliamentary processes and requirements, and an understanding of public

administration, government and legislative processes.

6. Proven high levels of personal integrity and confidentiality, and the ability to exercise appropriate discretion and

judgment.
